Role Overview
The National Maternity Hospital is hiring for a Grade V FED position based in Dublin, County Dublin, Ireland. This is a full-time, on-site role focused on technical administration and coordination within an engineering and facilities setting, with a strong emphasis on healthcare operations.
Experience and Background
- You should bring a minimum of 3 years of prior experience in a technical administrative role within Engineering, Facilities Management, or a similar environment.
- Direct exposure to working with both internal and external suppliers and clients is required.
- Hands-on experience using Electronic Call Maintenance Systems is essential.
- Procurement experience is also required.
- Experience handling project costs and account systems linked to on-site works is necessary.
- Previous work in a comparable healthcare role would be an advantage.
Key Duties
- Provide day-to-day administrative support across the engineering department.
- Record, track, and manage engineering-related calls and service requests.
- Maintain technical department records, including PPM, notices, financial documentation, and technical files.
- Operate the computerised Asset Management System and other related digital systems.
- Prepare and coordinate orders for spares, materials, and other required items.
- Support on-site project-related activity as needed.
- Assist in arranging tender processes alongside the FED team.
- Deal with contractors, suppliers, and service partners as part of ongoing delivery.
- Work closely with professional, technical, and craft personnel across the department.
- Produce regular reports on a daily, weekly, monthly, quarterly, and annual basis.
- Maintain departmental dashboards and an advance warning system for operational activities.
- Contribute to monthly reporting on team operational performance.
Systems, Knowledge, and Technical Exposure
- Use computerised call recording, planned preventative maintenance, and records systems effectively.
- Apply procurement, cost reporting, and performance tracking tools in an engineering context.
- Handle computer-based data management systems confidently.
- Demonstrate a sound understanding of engineering services, preferably in a healthcare setting.
- Awareness of Environmental Management Systems, especially ISO 14001:2015, is desirable.
- Knowledge of risk and safety practices relevant to an engineering department is also desirable.
