Role Overview
The Executive Assistant role at DNEG supports senior leaders across the VFX business with day-to-day administration, helping operations run smoothly and efficiently. The position calls for outstanding organisation, sound judgement, and a high level of discretion when handling confidential material.
This person acts as a central contact for internal teams, external stakeholders, creative partners, and clients, while also managing executive schedules, coordinating meetings and visits, supporting events, and taking on a broad range of administrative tasks.
Key Responsibilities
- Keep executive calendars organised by booking meetings, appointments, and travel while balancing priorities and time constraints.
- Plan domestic and international travel, including flights, hotels, transport, and visa paperwork, making sure arrangements align with business needs, budgets, company policy, and executive preferences.
- Manage incoming calls, emails, and correspondence for executives, prioritising communication and maintaining professionalism and confidentiality at all times.
- Build and maintain strong working relationships with internal teams, clients, creative partners, and vendors, representing the executives and the company effectively in routine and challenging situations.
- Coordinate meetings end to end, including logistics, agendas, materials, minutes, and follow-up actions.
- Support the planning and delivery of business events such as parties, team celebrations, site visits, tours, and pitches, ensuring a high-quality experience within policy and budget.
- Provide general administrative support such as drafting correspondence, preparing reports, handling expenses, and keeping filing systems organised.
- Help with special projects, research, and presentations, coordinating with other departments to keep work moving on schedule.
- Maintain accurate records and databases, and sort incoming documents and requests so executives can focus on the most important items first.
- Identify issues early, use practical judgement to solve problems, and work closely with other administrative colleagues and departments to improve processes and support team goals.
Required Experience and Skills
- Proven executive assistant experience supporting C-suite leaders and managing several diaries alongside different personalities.
- Strong organisational ability with excellent time management and the confidence to prioritise work independently.
- The ability to multitask effectively and keep other people organised as needed.
- Comfort communicating with colleagues at all levels and across international departments.
- Experience preparing and tracking executive expenses.
- Experience dealing with sensitive documents such as NDAs and contracts.
- Excellent spoken and written communication skills, with the ability to represent the team professionally.
- Good judgement in sorting information and deciding what needs immediate attention.
- Ability to develop strong working relationships at all levels, including in difficult or high-pressure situations.
- A friendly, approachable, productive, and patient manner.
- Experience using Google Workspace, including Gmail, Drive, and Calendar, is helpful; familiarity with other email platforms is a plus.
- International work experience and the ability to build relationships across countries, cultures, and time zones would be beneficial.
- Prior event planning experience is highly desirable, especially for wrap parties, screenings, awards parties, and premieres.
- Willingness to travel when required.
