About the Role
Paramount is seeking an Executive Assistant to support an executive-level leader within Paramount Advertising. This is an in-office position based in New York City’s Times Square area. The role calls for strong judgment, excellent discretion, and the ability to handle sensitive information while keeping operations running smoothly.
In this position, you’ll be a trusted partner who can manage shifting priorities, communicate clearly in writing and verbally, and stay organized across many moving parts. Success in the role requires a polished presence, strong business awareness, confidence under pressure, and the ability to anticipate needs before they are expressed.
Key Responsibilities
- Act as a highly responsive support partner by anticipating needs, handling requests quickly and accurately, and following through on action items to improve executive efficiency.
- Arrange complex travel plans, including flights, hotels, and car service, and coordinate related details with the right stakeholders while tracking associated expenses.
- Manage calendars and scheduling for multiple participants and locations, including coordination of demanding meeting schedules.
- Prepare meeting materials and support meetings through agendas, notes, action tracking, and follow-up communication.
- Oversee conference room setup and audiovisual logistics for presentations and meetings.
- Support department events and offsites by coordinating logistics, vendors, catering, guest lists, and onsite execution.
- Monitor important deliverables, deadlines, and follow-ups for the EVP and executive team so materials are prepared in advance.
- Maintain organizational charts, distribution lists, and department-wide communications.
- Handle phone calls, email communication, and incoming/outgoing packages.
- Work closely with Ad Sales executive team partners and their assistants to gather information, solve problems, and drive outcomes.
- Take ownership of special projects, occasional personal errands, and other duties as assigned.
- Stay on top of daily task priorities and monitor email during working hours as well as before and after them.
Required Experience and Qualifications
- At least 8 years of experience as an Executive Assistant, preferably in media, entertainment, technology, or marketing-focused environments, including 3 or more years supporting a C-suite executive.
- Strong command of Microsoft Office and/or Google Workspace tools such as Outlook/Calendar, Excel/Sheets, PowerPoint/Slides, and Word/Docs.
- Experience using travel and expense systems such as Concur and Workday.
- Strong organizational ability, professionalism, ambition, and the ability to bring substantial administrative or internship experience into the role.
- Sound judgment and discretion when dealing with senior executives, industry leaders, and other important partners.
- Comfort taking on new ideas and projects while staying centered on the highest-priority work.
- Excellent writing, editing, and proofreading skills for emails, presentations, and other business communications.
Compensation and Benefits
The hiring salary range for this role is $85,000 to $110,000 per year. The starting salary will depend on location, market conditions, experience, training, and education.
