Role Overview
The Executive Administrative Assistant will provide high-level administrative and operational support to the managing partners and help keep investment-related support functions running smoothly. This is a senior, exempt, full-time, in-office position suited to a self-directed professional who is comfortable supporting executives in a structured institutional environment and working closely with the broader administrative team.
Key Responsibilities
- Deliver executive-level administrative support by managing calendars, setting up meetings, coordinating travel, updating and distributing documents, and handling the logistics and communication for meetings, conferences, and events, including those involving travel.
- Act as a communication gatekeeper by triaging requests, screening calls and messages, prioritizing urgent items, and handling matters on behalf of the partners when appropriate.
- Draft, prepare, review, and process correspondence, reports, and presentations to maintain accuracy and timeliness.
- Support capital-raising coordination, investor communications, and compliance tracking at the executive level.
- Keep the managing partners and team aligned by tracking outstanding tasks, following up on action items, recording meeting notes, and maintaining awareness of key commitments.
- Serve as a liaison for important relationships, including tracking milestones, dates, and events, and sending gifts when needed.
- Provide support for partners’ internal committee work, portfolio company boards, and external boards.
- Help organize firm-wide events such as annual general meetings, retreats, and recurring training sessions.
- Handle administrative work across CRM, SharePoint, and other internal systems, including data entry and document management, while maintaining accuracy and policy compliance.
- Coordinate with office support staff to ensure meetings run smoothly, including guest reception, room booking, meal arrangements, and overall event scheduling.
- Assist with meeting setup, including conferencing tools, virtual meetings, presentations, and related technology.
- Communicate professionally with investors, strategic partners, vendors, and staff, including courteous follow-up by email.
- Work with the CFO to ensure executive expenses made on behalf of the firm are recorded correctly and on time in the expense management system.
- Maintain clear and organized SOPs and policy records to support efficient, sustainable, and compliant operations.
- Answer calls, respond to emails, and manage inquiries, logs, and correspondence promptly and professionally.
- Protect confidential information and follow applicable data protection and compliance requirements.
- Take on additional duties as assigned.
Qualifications
Applicants should bring strong executive and administrative support experience, especially in calendar management, travel coordination, meeting planning, and senior-level assistance. The role also calls for polished communication, strong phone etiquette, solid clerical ability, excellent organization, and discretion when handling sensitive information. Comfort with Microsoft Office, email, calendar tools, and other productivity software is important. Prior experience supporting senior leaders in a corporate or professional services setting is preferred. The position requires working on-site five days a week in the Bethesda, MD office and collaborating closely with the administrative team. An associate’s or bachelor’s degree in Business Administration, Communications, or a related field is helpful but not mandatory.
Working Arrangement
This is a full-time, in-office role based in the Washington DC-Baltimore area, with daily on-site presence required at the Bethesda, MD office.
