Role Overview
This position supports immigration case operations by keeping client records accurate, organized, and securely managed. The job centers on handling documents, maintaining electronic and physical files, and assisting with administrative tasks that help cases move smoothly through the office.
File Handling and Case Assembly
- Prepare case files for mailing and ensure all items are assembled correctly.
- Scan full client files for digital storage with care and completeness.
- Process FOIA requests for FBI background checks and add the downloaded FOIA material to the client’s electronic record.
- Review criminal background check results for possible concerns and bring any issues to the attorney’s attention.
Document Processing and Electronic Records
- Digitize and organize client paperwork such as identity documents, personal statements, questionnaires, and supporting evidence including joint records, hardship materials, and financial documents.
- Handle core biographical records like birth certificates, passports, marriage certificates, and receipt notices.
- When documents are received, scan them into the correct file and let the case worker know they are available.
- Print full case files, prepare mailing labels, revise cover letters as needed, and coordinate attorney signatures on forms and letters.
Administrative Assistance
- Issue closing letters once a case has been completed.
- Sort and transfer files into the correct folders based on the case outcome.
- Assist with incoming phone calls when needed and maintain professional, timely communication.
Skills and Qualifications
The role calls for strong organization, accuracy, confidentiality, and comfort working with sensitive immigration records. A basic familiarity with immigration paperwork and procedures is helpful, and the ideal candidate can stay efficient while working independently or with a team.
Additional Requirements
A high school diploma or equivalent is required, and some college coursework is preferred. The candidate must be bilingual in English and Spanish, or English and Portuguese, with Portuguese preferred.
