Position overview
This role is for a dependable, organized, and service-minded Administrative Assistant who will help keep day-to-day office operations running efficiently. The position supports staff, leaders, and guests by ensuring tasks are handled professionally and the workplace remains well organized.
The right person will be comfortable juggling several priorities, solving small problems before they grow, and contributing to a welcoming, productive environment. Strong attention to detail, initiative, and a genuine interest in supporting others are important for success in this position.
Key responsibilities
- Offer day-to-day administrative assistance to managers and other team members.
- Keep calendars organized, arrange meetings, and book appointments.
- Handle incoming calls and emails, then route questions to the correct contact.
- Draft, revise, and arrange documents, reports, and presentation materials.
- Keep records, files, and office paperwork organized and current.
- Enter data accurately and maintain up-to-date information.
- Support travel bookings, meeting coordination, and event logistics when required.
- Monitor office inventory and ensure supplies and equipment are stocked.
- Greet visitors and help maintain a polished, welcoming front-office experience.
- Assist with special assignments and other administrative duties as needed.
Qualifications
- A high school diploma or equivalent is required; further administrative coursework or training is an advantage.
- Prior exposure to administrative support, office coordination, or customer-facing work is preferred.
- Strong planning, prioritization, and time-management abilities.
- Clear written and spoken communication skills.
- Comfort using Microsoft Office tools such as Word, Excel, Outlook, and PowerPoint, along with related office software.
- Ability to manage sensitive information carefully and professionally.
- Good attention to detail and a practical approach to solving problems.
- Capable of working independently while also contributing well in a team setting.
