Role Overview

This part-time Administrative Assistant position is based in the Adelaide studio and focuses on keeping daily office operations running smoothly. The role supports facilities, administration, supplies, staff assistance, and workplace coordination. You will work with the Office Integration Manager to help create a well-organised, efficient, and welcoming environment while also supporting events, office services, and compliance with safety and security requirements.

Office Administration

  • Partner with the Office Integration Manager to make the best use of workspace and support flexible or hybrid working arrangements.
  • Keep track of kitchen and office supplies, handle invoices, and manage spending in a cost-effective way.
  • Request supplier quotations, coordinate vendors, and organise the pickup or delivery of items when required.
  • Assist with planning and delivering studio social and cultural activities such as fundraisers, staff milestone celebrations, and industry-related events.
  • Coordinate the studio’s monthly lunch gatherings.
  • Oversee the upkeep of office facilities by working with building management and outside service providers for repairs and maintenance.
  • Help ensure the workplace meets all applicable health, safety, and security standards.

General Administration

  • Manage correspondence, calendars, database updates, and travel bookings.
  • Maintain stock levels and place orders for office supplies.
  • Support employee onboarding and training activities.

Qualifications

  • At least 3 years of experience in an administrative position.
  • A valid Australian driver’s licence.
  • Flexibility to attend the office whenever needed for operational and team support.
  • Strong experience in working with vendors and negotiating with suppliers.
  • Excellent verbal and written communication skills, with the ability to work effectively with colleagues at all levels and with external stakeholders.
  • Good computer skills and the ability to learn new systems quickly; experience with Google Workspace including Gmail, Calendar, Docs, Sheets, Drive, and Meet is preferred.
  • Previous experience organising small-scale events.
  • Experience in the video games industry is an advantage.
  • OHS and first aid training are preferred.
