About the organisation
Parabellum International Training is seeking a proactive Training Administrator to support a busy and high-performing training environment. The organisation is an established provider of emergency response, medical, risk management, and training services, operating under RTO No: 51786.
The team runs a modern training centre at its head office in Naval Base, Western Australia, delivering both accredited and non-accredited courses in emergency response, medical, and workplace safety.

About the role
In this role, you will report to the RTO Manager and work closely with the Training Operations Co-ordinator. Your work will help keep the RTO running smoothly by supporting enrolments, document control, compliance, quality processes, and day-to-day training administration.
This position calls for someone with strong attention to detail, a genuine interest in quality assurance, and confidence in administrative workflows.
Key duties
- Process student enrolments through the LMS system aXcelerate.
- Keep student enrolment records accurate and current in aXcelerate, including all required supporting documents.
- Handle the movement and organisation of training paperwork, including checking, filing, and maintaining records.
- Support the preparation and administration of training documents and student resources.
- Coordinate the issue and management of learner materials and training resources.
- Work with client needs to assemble learner guides and information packs.
- Assist with the daily management of training information across aXcelerate and SharePoint.
- Communicate with trainers, clients, and students to provide a high standard of service for training-related queries.
- Arrange classroom setup, training logistics, and external suppliers to support effective course delivery.
- Take on occasional ad hoc tasks to help the training centre operate efficiently.
Additional responsibilities noted
- Maintain the student enrolment register in aXcelerate along with related enrolment details.
- Carry out detailed checks and filing for RTO records and documentation.
- Assist with the preparation of RTO training and student materials.
- Administer training resources as required.
- Coordinate client requirements, including learner guides and information packs.
- Support the day-to-day handling of data in aXcelerate and SharePoint.
- Deliver strong customer service to trainers, clients, and students on training enquiries.
- Support the training centre and department with occasional ad hoc duties.
- Organise classrooms, logistics, and external suppliers to help ensure efficient attendance and course delivery.
Experience and suitability
Applicants should have at least 2 years of experience in a similar position. Prior experience in an RTO environment and familiarity with the aXcelerate learning management system are strongly preferred.
