Role overview
This position supports day-to-day procurement operations for a hospital environment. The role covers sourcing, quotation and tender management, contract administration, and coordination with internal stakeholders to secure medical consumables, supplies, equipment, and services in a timely and cost-conscious way while staying aligned with hospital procurement policies.
Key responsibilities
- Handle the full procurement cycle for medical consumables, general supplies, equipment, and services, from sourcing and evaluation through award and contracting, in line with procurement policies and procedures.
- Work with departments to build purchasing plans based on approved capital and operating budgets.
- Partner with user teams to define specifications, scope, and service requirements for RFQs and ITTs.
- Advise departments on the most suitable procurement method and sourcing strategy.
- Post RFQs and ITTs on e-procurement systems, run briefings, and support site visits or show rounds when needed.
- Consolidate bids and quotations into price comparison tables for review by the relevant department.
- Set up evaluation committees and assessment criteria with user departments; support vendor presentations, product trials, sampling, and price-quality evaluations.
- Negotiate with suppliers to secure savings or avoid unnecessary cost increases.
- Prepare approval papers for the approving authority, ensuring compliance with procurement requirements.
- Issue letters of award and contracts to successful vendors.
- Coordinate with users to create purchase requisitions and generate purchase orders in the enterprise system.
- Work with users, Finance, Store, and vendors on invoices and delivery timelines.
- Conduct procurement roadshows to explain processes and share updates with internal users.
- Support inventory control by checking par levels and arranging stock replenishment.
- Coordinate bulk contract matters with ALPS.
- Track blanket orders and work with the store team on delivery schedules.
- Support process and system improvement initiatives within procurement.
- Review pending purchase orders with users to close them in a timely manner.
- Keep purchase records current to meet audit requirements.
- Assist with procurement projects as needed.
- Carry out other duties assigned by the supervisor.
Requirements
- A degree in Business Administration or Supply Chain Management.
- At least 3 years of relevant procurement experience.
- Comfortable using Microsoft Office and the SAP Materials Management module.
- Strong negotiation and business writing abilities.
- Highly organised, careful with details, and resourceful.
- Able to work well on your own and also contribute effectively as part of a team.
Additional information
This is a full-time, onsite role based in Singapore. The position focuses on hospital procurement operations and includes regular coordination with internal departments, finance, stores, vendors, and procurement partners.
