Role Overview
Treace is looking for an experienced Executive Assistant to support senior leaders, including the Chief Operations & Supply Chain Officer, Chief Innovations & Marketing Officer, Chief Strategic Initiatives Officer, Senior Vice President of Sales, Senior Vice President of Commercial Excellence, and their teams. The role is centered on improving efficiency, strengthening communication, and ensuring smooth coordination across people, schedules, and resources.
Key Duties
This position acts as an important bridge between executives, internal teams, and outside partners. You will oversee calendars, coordinate detailed logistics, arrange meetings and events, and help keep day-to-day operations running without disruption. The role suits someone who performs well in a busy, high-energy setting.
Responsibilities
- Act as a communication link between executives and both internal and external contacts.
- Handle calendar planning, meeting scheduling, and coordination for 1:1s, leadership sessions, and cross-functional gatherings.
- Support Operations, Quality/Regulatory, and R&D teams with supply handling, travel planning, meeting setup, and guest hosting.
- Organize employee activities, industry conferences, monthly physician meetings, and R&D laboratory events, including hotels, agendas, transportation, and meals.
- Manage business travel processes, complete expense reports, and maintain related documentation.
- Keep electronic and physical files organized and up to date.
- Track office inventory, source vendors, and maintain refreshment areas.
- Work closely with other executive assistants to coordinate coverage and provide backup when necessary.
- Receive and support visiting guests and cover lobby or front desk duties when needed.
Qualifications
The role requires a high school diploma. An associate degree or other post-secondary education is preferred. Candidates must have at least five years of prior experience supporting C-level executives.
