Role Overview
The Clinical Data Specialist supports clinical trial operations across the research network by reviewing electronic health records, identifying possible trial candidates, assisting with recruitment, maintaining study databases, and keeping patient pre-screening documentation accurate and complete. This role is best suited to someone who is highly organized, attentive to detail, comfortable in a fast-moving environment, and motivated by the opportunity to improve clinical research through data-driven patient identification and efficient operations.
Key Responsibilities
- Examine electronic health records to find patients who may meet the requirements for active studies.
- Analyze study protocols and inclusion/exclusion criteria to determine the right groups for outreach.
- Create and update databases of potential participants across multiple research programs.
- Record pre-screening activity and findings in line with internal procedures and regulatory expectations.
- Work with research sites and clinical teams to support recruitment efforts.
- Assist research sites with data collection, documentation, and coordination tasks.
- Help arrange patient appointments and research visit scheduling.
- Enter data into clinical research systems and internal tools with accuracy and timeliness.
- Maintain study records and tracking tools to support operational reporting and efficiency.
- Join project meetings and contribute to continuous process improvement work.
- Protect PHI and research data through secure, confidential, and compliant handling practices.
- Follow company policies, study protocols, Good Clinical Practice standards, and applicable regulations.
- Ensure all documentation and data activities remain complete, accurate, and high quality.
Required Qualifications
- Bachelor’s degree, or an equivalent mix of education and relevant experience.
- Strong working knowledge of Microsoft Office tools, Google Workspace, Adobe Acrobat, and web-based applications.
- Ability to learn and use new systems quickly, including EHR, CTMS, and CRM platforms.
- Strong precision, organization, and follow-through.
- Solid time management skills and the ability to balance several priorities at once.
- Clear written and verbal communication skills.
- Capability to work both independently and as part of a team in a dynamic environment.
- Professionalism, discretion, and sound judgment when working with sensitive information.
Preferred Background
- Experience in clinical research, healthcare operations, patient recruitment, or data management.
- Exposure to clinical study protocols and eligibility review.
- Hands-on experience reviewing EHR data.
- Understanding of Good Clinical Practice and clinical research regulations.
- Background in a healthcare technology, biotech, or startup setting.
- Experience with Salesforce, CTMS tools, or similar research technology systems.
