CAFM Operator

Role overview

We One is seeking a CAFM Operator to support day-to-day facility operations through accurate data handling, streamlined workflows, and dependable digital system support. In this role, you will help maintain smooth service delivery across facilities while contributing to operational excellence, sustainability, and ongoing improvement.

What you will do

• Run and maintain the CAFM platform, such as MRI Evolution or an equivalent system, so it continues to meet business and operational requirements.
• Keep asset registers, preventive maintenance plans, maintenance calendars, and project records up to date.
• Monitor completion of work orders, preventive maintenance activities, and reactive or corrective maintenance jobs.
• Prepare and share routine and on-demand reports from the CAFM system for management and other stakeholders.
• Act as the primary contact for internal helpdesk questions related to CAFM.
• Allocate work orders to the right person based on skills, site location, and availability.
• Record, follow up, and resolve service requests and user issues connected to CAFM and facility operations.
• Refer more complex technical matters to the relevant IT or CAFM specialist teams when necessary.
• Provide first-level support to CAFM users across the organization.
• Conduct user training or prepare guides to improve understanding and adoption of the system.
• Track assigned tasks to make sure they are completed on time and properly updated in CAFM.
• Coordinate urgent or emergency work orders and support fast resolution.
• Maintain clear communication with all stakeholders throughout the work order lifecycle.
• Support the FM team with work order management, resource planning, and operational coordination.
• Track and report KPIs and SLAs using CAFM reporting tools.
• Assist with adding new properties, assets, maintenance plans, and programs into the system.
• Audit CAFM data regularly to confirm it is accurate, consistent, and complete.
• Work with technical teams, service providers, and facility coordinators to keep information current and service activity visible in real time.
• Spot data mismatches early and recommend corrective measures to support operational quality.
• Observe system performance and escalate technical concerns when needed.
• Ensure CAFM records remain compliant with organizational and regulatory requirements.
• Maintain detailed records of configurations, workflows, assets, and maintenance history.
• Take part in regular reviews of CAFM and FM processes with the facilities team.
• Identify process gaps, suggest improvements, and help implement better ways of working.

Requirements

• A diploma or bachelor’s degree in Facilities Management, Engineering, IT, or a related discipline.
• At least 3 years of relevant experience as a CAFM Operator within the facility management sector.
• Strong working knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
• Hands-on experience with CAFM platforms such as MIMS, MAXIMO, ORACLE, MRI, or FSI.

This role is based in Dubai, United Arab Emirates and is a full-time, on-site position. The job focuses on operational support, data accuracy, reporting, coordination, and user assistance within a CAFM environment.
