Job Summary
The Subchest Custodian is responsible for controlling access to the Sub-chest and managing the issue and receipt of banknotes and coins between the bank and commercial banks.
Key Accountabilities: Cash Management
- Operate the Sub-chest opening and closing process under dual control to strengthen internal checks.
- Receive currency from the Bank of Zambia and commercial banks and keep it secure according to approved procedures.
- Provide banknotes and coins to commercial banks in the assigned area to support uninterrupted cash operations in the banking sector.
- Submit requests for Sub-chest replenishment so that sufficient stock and suitable denominations are available to meet market demand.
- Request currency evacuation from the Sub-chest to the Bank of Zambia so unfit notes are removed from circulation and stock levels remain aligned with bank direction.
- Carry out vault reconciliations for the Sub-chest to identify variances and resolve them promptly.
- Track every movement of currency stock in the Sub-chest to maintain full accountability and support audit trails.
- Prepare weekly and monthly Sub-chest returns to support timely reconciliation.
- Work with commercial banks in a timely way on currency needs to improve forecasting and Sub-chest management.
Rigour and Accuracy
- Perform daily reconciliation of the total cash balance in the Sub-chest and escalate any cash-related issues immediately to the Branch Manager following current procedures.
- Count all money received or paid out carefully to avoid mistakes; note that the bank applies a zero-tolerance approach to Sub-chest errors and may take formal disciplinary action where necessary.
- Support Bank of Zambia audits and inspections of the Sub-chest to confirm adherence to the required rules and guidelines.
- Check that documents submitted by other commercial banks, such as deposit or withdrawal slips, are complete and accurate.
- Log and file transaction documents on the value date.
- Count the boxes kept in the safe custody area as part of end-of-day branch checks.
- Keep transaction records in an orderly and meticulous manner in line with bank procedures, and make them available for control or review when requested.
- Hold one of the two Sub-chest keys and follow the approved key-control matrix without exception.
Risk and Control
All duties must be performed in line with regulatory expectations, the Absa Operational Risk Framework, and internal Barclays policies and standards.
Education
A Further Education and Training Certificate (FETC) in Business, Commerce and Management Studies is required.
