Role overview
This position centers on accurate, timely processing of weekly and biweekly payroll in a fast-moving, high-volume environment. The coordinator will help ensure payroll activity aligns with federal, state, and company rules, while also supporting union payroll, certified payroll, headcount reporting, and labor reporting. The role requires a strong eye for detail, a high level of confidentiality, and hands-on familiarity with systems such as Kronos/UKG and ADP.
Position details
This is an hourly role, with compensation determined by experience and skill level. It is a contract position with the possibility of extension or conversion to a direct hire. The standard schedule is Monday through Friday, 7:00 a.m. to 4:00 p.m. The worksite is fully onsite at the client location in Holly Ridge, LA.
Key responsibilities
- Apply payroll rules and procedures in line with state and federal labor regulations to calculate earnings correctly.
- Handle multi-state payroll practices, including wage taxation and proper withholding for regular and supplemental pay.
- Process end-to-end payroll for a workforce that includes multiple union trades.
- Review system changes affecting work locations and residence locations so jurisdictions and municipalities remain configured correctly.
- Identify and resolve withholding tax issues, ensuring taxable wages are assigned to the right jurisdictions.
- Run weekly and biweekly payroll independently within required schedules and in compliance with SOX controls.
- Perform payroll reconciliation checks before files are sent.
- Process sensitive payroll data while protecting confidentiality and supporting audit requests.
- Manage wage garnishments and related withholding orders, including research and issue resolution.
- Prepare and submit 401(k) and HSA reporting.
- Investigate payroll questions and correct pay discrepancies in a timely manner.
- Issue on-demand payments when needed.
- Support year-end W-2 reconciliation and generate W-2Cs when necessary.
- Maintain payroll files, records, and documentation to support reference needs and audit readiness.
- Take on additional projects and assignments from Payroll Management or senior leadership.
Experience and qualifications
- Associate degree or equivalent education and training.
- 3 to 5 years of experience handling multi-state payroll for 1,000+ employees.
- Background in union payroll and/or certified payroll.
- Canadian payroll experience is a plus.
- Working knowledge of payroll taxes at the federal, state, and local levels.
- Experience with ADP Workforce Now, Kronos, Oracle, or similar payroll systems.
- Strong accuracy and attention to detail.
- Comfort using Microsoft Office, especially Excel with vlookups and pivot tables.
- Strong work ethic and a collaborative mindset.
- Ability to manage confidential information with discretion.
- Clear verbal and written communication skills.
