You will work closely with headquarters teams remotely to keep office operations running smoothly while ensuring all administrative and HR processes comply with German labor laws and local office policies.

General Administration

  • Oversee everyday office admin tasks such as welcoming visitors, managing mail and parcels, arranging and preparing meeting rooms, maintaining the office environment, and handling other routine support duties.
  • Take care of office procurement, check stationery inventory, register fixed assets, sort and submit expense claims, and keep track of regular office spending.
  • Coordinate with property management and facility vendors for maintenance needs; plan business travel and hospitality for visiting headquarters colleagues; and support document flow and communication between the local office and global teams.
  • Sort, store, and archive administrative records in line with local German office standards, ensuring documentation remains complete and easy to trace.

HR Administrative Support

  • Support hiring tasks by reviewing resumes for entry-level positions, arranging interviews, coordinating interview schedules, greeting candidates, and sharing interview feedback with the global HR team.
  • Keep HR information accurate and files organized, while assisting with onboarding, offboarding, and other routine personnel administration tasks.
  • Help manage daily HR operations, including attendance tracking, leave coordination, overtime record handling, and attendance data reporting, while strictly following German working-time and leave regulations.
  • Respond to basic HR questions from local employees, assist with the rollout of global HR policies at the local level, and provide regular HR updates to corporate HR.
  • Work with local German HR service providers to complete statutory personnel filings and required labor compliance steps.

Requirements

  • A bachelor’s degree in business administration, human resources, office management, or a similar field.
  • About 1 to 3 years of experience in office administration or HR administrative support, with familiarity in standard office processes and basic HR operations.
  • Working knowledge of German labor law and local office compliance expectations.
  • Strong English and German communication skills for everyday business use, along with good MS Office proficiency.
  • Careful attention to detail, strong confidentiality standards, and the ability to stay organized while managing multiple priorities.
  • Solid cross-cultural communication skills for working effectively with remote headquarters teams.

Additional Information

This role requires coordination across administrative and HR functions and involves ongoing communication with both local stakeholders and headquarters teams. Compliance with German statutory labor regulations and local working policies is an essential part of the position.
