Role Purpose
The Executive Assistant will provide end-to-end administrative and logistical assistance to assigned leaders, helping daily operations run smoothly. The role involves managing schedules, communication, travel, documents, and project support while safeguarding confidentiality and sensitive information.
Key Responsibilities
- Offer senior-level administrative assistance to the reporting manager and, when needed, to other teams.
- Plan and maintain calendars, set up meetings, and ensure the manager’s time is managed efficiently.
- Act as a communication gateway by screening calls, emails, and other correspondence from internal and external contacts.
- Prepare, revise, and proofread emails, reports, and other business documents.
- Keep filing and document storage systems well organised, current, and easy to retrieve from.
- Create and refine correspondence, meeting notes, agendas, reports, and presentations with a high level of accuracy.
- Arrange travel plans, including tickets, accommodation, and visa support where required, to ensure hassle-free business travel.
- Support day-to-day office functioning by managing supplies, equipment, facilities, and incoming/outgoing mail and parcels.
- Coordinate meetings and events for the Non-Aero team, including room booking, material preparation, and logistics support.
- Prepare agendas, record minutes, and track closure of action points from meetings.
- Handle confidential records carefully and follow data security procedures for the Non-Aero business unit.
Stakeholders
Internal stakeholders include the Head of Non-Aero (Large/Regional) and other internal teams as required. External stakeholders include clients/customers, vendors/suppliers, and regulatory or government agencies.
Qualifications and Experience
A bachelor’s degree in Business Administration, Management, Office Management, Communication, or a related discipline is preferred.
Candidates should have at least 3 years of experience supporting senior leaders with administrative work and communication handling. A solid background in compliance, confidential record management, and report preparation is expected.
Proficiency in Microsoft Office Suite, along with strong interpersonal and soft skills, is preferred.
