Role overview
This position provides high-level tactical and strategic administrative assistance to senior executives. It involves managing critical records, preparing information for reports, coordinating executive presentations, and handling expenses and travel end to end. The role also owns executive calendars, organizes complex meetings, serves as a communication filter, and helps coordinate administrative activities across teams and functions.
Key responsibilities
- Deliver advanced administrative support to upper-level leaders and serve as the department or division’s strongest administrative resource.
- Maintain important records, gather information for reports, process expense documentation, and prepare or refine executive presentations.
- Take charge of executive calendars, resolve scheduling conflicts, coordinate complex meetings, prepare agendas, record meeting notes, and track follow-up actions.
- Screen and prioritize calls and emails, handle routine questions, and draft replies on behalf of executives when needed.
- Coordinate all executive travel arrangements, including international travel, visa-related work, budget tracking, and last-minute changes or emergencies.
- Manage confidential and sensitive information with a high level of discretion.
- Create analytical and statistical reports for administrative planning and build presentations that surface relevant insights for leaders.
- Act as a main liaison between senior executives and internal or external stakeholders.
- Support coordination of administrative work across departments, divisions, and outside organizations.
- Guide or supervise entry-level executive assistants or administrative support staff when assigned.
Experience and education
Candidates should have a High School Diploma, GED, Higher Secondary education, or equivalent work experience with demonstrated capability. The role generally requires at least 8 years of relevant experience, ideally in senior administrative support, office services, or a similar environment.
