Role Summary
The Executive Assistant will provide high-level administrative, analytical, and general support in a role that requires strong professionalism, discretion, and integrity. This position will regularly handle sensitive and confidential information and will interact with internal and external stakeholders on behalf of leadership.
What You Will Do
- Stay ahead of leadership needs by prioritizing tasks and keeping executives informed about meetings, agendas, travel, upcoming events, correspondence, and matters involving employees or visitors.
- Coordinate calendars and contact databases, arrange travel, order office supplies and equipment, prepare expense reports, and organize meeting spaces and catering.
- Serve as a point of contact between leadership and employees, clients, and outside partners, using sound judgment to decide when to handle issues directly and when to escalate them.
- Manage complex office situations, scheduling conflicts, and highly sensitive, time-critical information.
- Draft polished, high-level documents and correspondence for the Board and/or Presidential Cabinet.
- Maintain accurate records and filing systems across electronic and physical formats, ensuring information is organized, current, and accessible when needed.
- Support budget preparation and monitor expenses.
- Plan and coordinate large meetings that may involve multiple departments.
- Provide administrative help to additional team members as directed by leadership.
- Assist other departments and employees with special projects and events as needed.
- Carry out additional responsibilities as assigned and follow all organizational policies and standards.
Required Qualifications
- A bachelor’s degree is required, although a suitable combination of education and relevant experience may be accepted in place of the degree.
- At least 8 years of experience supporting executives in an assistant capacity.
- Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and related Microsoft tools.
- Excellent skills in organization, verbal communication, and written communication.
- Ability to manage multiple priorities, work independently, and contribute effectively as part of a team.
- Comfort under pressure and the ability to stay composed in demanding situations.
- Strong attention to detail.
- Consistent use of good judgment and discretion, especially when dealing with confidential information.
Compensation and Benefits
The expected hourly pay range for this position is $20.51 to $37.18, with final compensation determined by factors permitted by law such as experience, training, location, licenses, certifications, market conditions, departmental budget, and role responsibilities.
Benefits include health, dental, vision, life, and disability coverage; a 401(k) retirement plan with a 6% employer match; 15 paid vacation days per calendar year; and 12 paid holidays plus 2 floating holidays.
