Role overview
As a Contracts Specialist at CivicPlus, you will manage the full lifecycle of sales agreements, keeping records organized and ensuring contract compliance for prospective and current clients. You will report to Corporate Counsel and need a solid working knowledge of the company’s products, internal workflows, and evolving best practices.

Key responsibilities
- Track incoming sales requests and handle related administrative needs such as form execution, registrations, and insurance documentation.
- Take ownership of the contracting workflow from first draft through completion and CRM processing.
- Support client negotiations while maintaining professionalism, strong service, and protection of the company’s interests.
- Prepare, maintain, and revise contract documents and templates, including MSAs, SOWs, renewals, and amendments across CivicPlus solutions.
- Help draft and document updates to departmental policies, procedures, and best practices.
- Implement contract language updates within the CRM system.
- Coordinate contract-processing activities with business partners, including insurance certificates, vendor affidavits, business licenses, and similar items.
- Support the application, administration, and renewal of procurement vehicle contracts such as GSA, SHI, and TIPS.
- Review and respond to RFPs for legal and compliance requirements in a timely and consistent manner.
- Analyze complex contract terms, pricing, special provisions, approvals, and conditions to reduce business risk and maintain compliance with laws, rules, and internal policies.
- Work with sales and internal stakeholders to find alternative contract approaches when needed.
- Educate and train internal teams on contract policies and effective practices.
- Contribute to cross-functional projects that improve business operations and contract management capability.
- Keep Legal Department files current and organized.
- Balance competing priorities and deadlines while supporting internal teams and external customers.
- Use new tools and technologies to improve contract management efficiency.
- Interpret existing agreement language and provide clear guidance to other departments.

Preferred qualifications
- Some travel may be necessary.
- A legal background is preferred.
- At least 3 years of contract administration or contract facilitation experience is preferred.
- Strong attention to detail is important.
- Working knowledge of government-market procurement regulations is expected.
- Excellent time-management skills and the ability to juggle multiple projects are needed.
- Comfort working at a computer and monitor, including sitting and standing for long periods.
- Ability to finish work in a timely manner while managing detailed tasks accurately and meeting deadlines, goals, and customer needs.
- Ability to maintain focus for extended periods.
- Ability to read and view screens for long periods.
Compensation and benefits
The estimated salary grade range for this position is $54,100 to $75,700 annually, based on a 40-hour work week and influenced by skills, qualifications, and experience. Benefits include comprehensive medical, dental, and vision coverage, Flexible Time Off, a 401(k) plan, and additional offerings.
