Role overview
Food Lab is seeking a proactive and well-organised Supply Chain Coordinator to help manage the day-to-day work across procurement, materials planning, supplier follow-up, and stock management.
The role sits within the Supply Chain team and partners with the Head of Supply Chain, production teams, warehouse teams, quality, finance, and logistics providers. The main goal is to make sure the business has the right ingredients, packaging, and materials at the right time to keep production running across UK and US operations.
This position is well suited to someone at the early stage of a supply chain career who wants broad exposure and the chance to build skills across procurement, planning, inventory, logistics, and operations.
Key responsibilities
- Issue and monitor purchase orders for ingredients, packaging, and other essential supplies.
- Chase suppliers for updates on lead times, delivery schedules, shortages, and any changes to orders.
- Keep supplier records accurate, including contacts, pricing, minimum order quantities, pack sizes, and lead times.
- Escalate any supplier delays or risks that could affect production.
- Support the Head of Supply Chain in converting production plans into material needs.
- Track stock levels and highlight possible shortages before they become urgent.
- Help maintain safety stock for key ingredients and packaging items.
- Assist with stock checks, reconciliation, inventory accuracy, and investigation of discrepancies.
- Ensure materials arrive in time for production runs, trials, and new product launches.
- Coordinate inbound deliveries with suppliers, couriers, freight forwarders, and internal stakeholders.
- Track shipments and communicate any schedule changes or delays.
- Support the movement of materials between suppliers, warehouses, and production sites.
- Maintain purchase orders, item data, supplier information, and lead times in the ERP/MRP system.
- Update simple trackers and reports covering open purchase orders, supply risks, late deliveries, and material availability.
- Contribute to improvements in purchasing processes, templates, and day-to-day ways of working as the business scales.
Requirements
- 1–3 years of experience in supply chain, procurement, purchasing, logistics, operations, or a similar field.
- Strong organisational ability and close attention to detail.
- Good working knowledge of Excel or Google Sheets.
- Ability to manage multiple tasks, suppliers, and deadlines at the same time.
- Clear communication style and comfort with following up suppliers and internal teams.
- Self-driven approach and willingness to take ownership.
- Comfort working in a fast-paced start-up environment where priorities can change quickly.
- Interest in food, beverage, manufacturing, or FMCG.
- Positive attitude and eagerness to learn.
- Preferred background includes food, beverage, FMCG, hospitality, manufacturing, or logistics.
- Exposure to ERP or MRP systems is preferred.
- Experience raising purchase orders or coordinating suppliers is preferred.
- Basic understanding of stock control, lead times, and production planning is preferred.
- Experience working with warehouses, factories, or logistics partners is preferred.
