Role overview
This contract opportunity is for a Senior Manager/Manager focused on project coordination in Singapore. The role centers on connecting project teams, internal stakeholders, and governance forums so that updates, recommendations, and supporting materials are assembled clearly and on time.
Project and stakeholder coordination
- Bring together updates from different project teams and business functions, then shape them into a coherent project narrative.
- Serve as the central coordination point to make sure information from multiple stakeholders is aligned, consistent, and easy to follow.
- Keep communication moving between teams so decisions can be made and actions can move forward smoothly.
Governance and management support
- Help prepare and coordinate materials for management, committee, and board-level forums, including PAC (Projects Advisory Committee – GENS Directors) and senior management meetings.
- Combine inputs into well-structured presentation decks, briefing notes, and reports.
- Record decisions, comments, and instructions, then work with the relevant owners to ensure follow-up actions are completed.
Meetings and action tracking
- Organize meeting agendas, pre-reading packs, and any required follow-up documentation after meetings.
- Monitor action items and outstanding follow-ups so responses are timely and closures are tracked through to completion.
- Work with stakeholders to resolve data clarifications, revisions, and any pending information requests.
Documentation and reporting
- Handle the compilation, version management, and distribution of project decks and related documentation.
- Maintain a high standard of accuracy, consistency, and punctuality in materials shared with senior stakeholders.
- Contribute to ongoing improvements in the layout, structure, and overall quality of project documentation.
Requirements
The successful candidate should have a Diploma or Degree with relevant experience in project administration, project coordination, or management support. Experience in a matrix or multi-stakeholder environment is important. Prior exposure to management reporting or governance reporting would be an advantage. The role also calls for strong stakeholder coordination, careful attention to detail, solid organizational ability, and clear communication skills. The person should be comfortable balancing multiple priorities and deadlines while ensuring strong follow-through.
