Role Overview
The Senior Administrator role is designed to provide senior-level administrative support to executives by keeping schedules organized, coordinating meetings and travel, and managing communication across internal teams and external contacts. The position calls for a highly organized professional who can work discreetly, stay ahead of priorities, and help day-to-day operations run smoothly.
Key Duties
- Partner with executives and management to keep them updated on upcoming meetings, deadlines, and obligations, and follow up on action items as needed.
- Manage executive calendars with a high level of accuracy and coordination.
- Handle a wide range of administrative work that supports leaders in carrying out their responsibilities effectively.
- Serve as the main contact point between executives and both internal teams and outside stakeholders.
- Maintain a daily electronic journal, schedule appointments and meetings, send reminders, and oversee a master calendar covering conferences, company-wide events, holidays, and leave periods.
- Respond promptly and professionally to requests, concerns, and questions.
- Coordinate travel plans, hotel bookings, and dining arrangements for executives when required.
- Record dictation and meeting minutes, prepare accurate notes, and circulate them as needed.
- Build and maintain good working relationships with vendors while tracking pricing to secure the best value for supplies and services.
- Create polished reports, presentations, and executive briefs.
- Set up and maintain an organized documentation and filing process for physical and digital records.
- Assign tasks to other team members when appropriate to support workload distribution.
Education and Experience
The preferred educational background is an associate degree in Secretarial Studies, Business Administration, Management, or a related discipline. Candidates should bring at least 5 years of experience in a similar administrative position.
