Role overview
The Patient Engagement Associate helps raise awareness of clinical research and supports patient enrollment for clinical trials. This role is expected to help recruit participants and contribute to meeting enrollment targets.
What you’ll do
- Build a working understanding of the company’s clinical studies, including diagnoses involved, medical terminology, study protocols, and exclusion criteria.
- Create a positive first impression and deliver responsive, courteous support to patients, prospective subjects, doctors, pharmaceutical sponsors, site teams, and internal stakeholders.
- Handle day-to-day recruitment activity across assigned studies.
- Place outbound recruitment calls and respond to inbound inquiries, with a target of 80 to 120 calls per day.
- Screen potential participants by reviewing diagnoses and exclusion factors to determine fit for a study.
- Review patient records in different EMR systems, assess eligibility, and pre-screen patients before appointments.
- Match patient needs with current or upcoming studies and capture future prospects in the database when appropriate.
- Schedule qualified candidates for next steps.
- Maintain recruitment and subject-tracking databases, including study progress, timing, screening information, and participant status.
- Route screened participants into the correct studies and ensure records remain current.
- Follow IRB-approved protocols at all times.
- Protect confidentiality, stay organized, manage priorities effectively, and provide strong customer service.
What you need to bring
- Comfort using Microsoft Office tools such as Outlook and Word, along with web-based applications.
- Strong organization, attention to detail, and interpersonal skills.
- Clear verbal and written communication skills.
- Ability to work independently and collaboratively with coworkers, supervisors, and external contacts.
- Friendly, outgoing personality with confidence in engaging with people.
- Capability to juggle multiple tasks accurately while adapting to shifting priorities and workloads.
- Professional attitude, strong sense of urgency, self-motivation, and a solid work ethic.
- High integrity and the ability to safeguard sensitive information in line with HIPAA requirements.
Experience and education
- An associate degree plus at least 1 year of experience in a healthcare environment, or an equivalent mix of education and experience, is required.
- Experience with EMR systems is preferred.
- Background in clinical research or patient recruitment is strongly preferred.
- Data entry experience is preferred.
Work environment
- This is a remote role.
- Up to 20% travel may be needed to support the job.
Physical requirements
- Extended computer work at a desk.
- Regular communication by email, phone, chat, and webcam tools such as MS Teams or Zoom.
- Frequent sitting, standing, walking, and light object handling.
- Occasional reaching above the shoulders, bending, twisting, stooping, squatting, firm gripping, and lifting, carrying, pushing, or pulling items up to 20 pounds.
