Role Overview
We are hiring a capable Management Assistant to work directly with the Managing Director on the daily running of the business. This position is broader than a standard secretarial role. It is intended for someone who can function as a dependable business partner, helping coordinate sales, operations, external partners, and internal teams while also keeping the office environment efficient and productive.
Key Responsibilities
- Support the Managing Director as a day-to-day partner by managing priorities, follow-ups, and task execution.
- Monitor important business actions, deadlines, and open items involving multiple stakeholders.
- Create business documents such as management briefs, internal status updates, client presentation decks, and speaking notes.
- Liaise with internal departments to keep work aligned and ensure deliverables are completed on time.
- Assist the Managing Director in meetings and discussions with clients, partners, and vendors, including preparation beforehand and follow-through afterward.
- Carry out business research, market reviews, and competitor monitoring when needed.
- Make sure urgent matters are surfaced, escalated, and brought to completion.
- Support the smooth functioning of the office so it contributes to business performance, not only administrative convenience.
- Handle day-to-day office logistics, assets, and service coordination to free teams to focus on delivery.
- Help with onboarding and offboarding from an operational readiness standpoint.
- Arrange internal meetings, workshops, and customer site visits.
Requirements & Profile
- Between 3 and 6 years of experience assisting senior leaders in executive support, operations, or business support roles.
- Good grasp of business processes, task prioritization, and working with different stakeholders.
- Commercially minded, with the ability to look beyond pure administration.
- Well-organized, self-driven, and able to work effectively in uncertain or changing situations.
- Strong English communication skills, both written and spoken.
- High level of discretion and professional conduct.
- Confident using Microsoft 365 tools, including Outlook, PowerPoint, Excel, and Word.
- Background in a fast-scaling company, SME, technology business, or professional services firm is an added advantage.
