Role Overview
The Logistics Executive will be responsible for coordinating, processing, and monitoring domestic as well as international courier shipments via DHL. The role focuses on ensuring shipments move out on time, paperwork is accurate, shipping rules are followed, and communication across teams and customers stays efficient.
Core Responsibilities
- Prepare shipment bookings in DHL systems and portals, and coordinate courier pickups and dispatch timing.
- Choose the most suitable DHL service based on urgency, destination, shipment weight, and cost considerations.
- Check shipment information carefully before booking, including recipient details, parcel dimensions, and declared value.
- Compile and review shipping documents such as Air Waybills, commercial invoices, packing lists, export/import papers, and customs declarations.
- Make sure all documentation aligns with DHL rules and the destination country’s requirements.
- Track consignments from pickup through final delivery and monitor their status using DHL tracking tools.
- Spot delays, exceptions, or customs-related issues early and work toward quick resolution.
- Share shipment updates with customers and internal teams as needed.
- Coordinate with DHL representatives on bookings, service concerns, claims, and delivery performance.
- Respond to customer questions about shipment movement and expected delivery timelines.
- Work closely with sales, warehouse, procurement, and finance teams to keep shipment handling smooth.
- Support compliance by checking international shipping rules, customs requirements, and restricted or prohibited items.
- Assist with customs clearance coordination whenever needed.
- Track courier expenses and shipment volumes, and verify DHL invoices against booked shipments.
- Help identify cost-saving opportunities and areas for service improvement.
- Prepare periodic reports on shipments and logistics performance.
- Maintain organized shipment records, archive documents according to company policy, and update ERP or logistics systems with shipment and tracking details.
- Resolve delivery issues such as delays, lost parcels, damage claims, and discrepancies, escalating critical cases when required.
Deliverables and Performance Measures
- Accurate shipment bookings completed on time.
- Fully compliant and complete shipping documentation.
- Live shipment tracking and timely status updates.
- Quick closure of shipment-related issues.
- Monthly reports covering logistics and courier performance.
- Well-maintained records and cost documentation.
- Booking accuracy, on-time dispatch rate, documentation error rate, delivery success rate, complaint volume, response speed, and budget control are key performance indicators for this role.
Required Skills and Experience
Strong knowledge of DHL processes and courier booking platforms is needed, along with a solid grasp of international shipping and customs paperwork. The role also calls for good command of Microsoft Excel and ERP or logistics systems, plus strong organization, communication, attention to detail, and problem-solving skills.
Compensation and Other Details
The salary offered is AED 3,000 to AED 4,000 per month. Immediate joiners are preferred. Candidates of Indian or Filipino nationality are preferred.
