About the Role

This role sits in the centre of Mercury’s agency labour operations. The coordinator will manage the full agency labour workflow, from finding and assessing labour providers, through system and personnel setup, to making sure weekly processes are completed accurately and on schedule by time administrators.

Key Responsibilities

  • Partner with the procurement team to source, assess and approve agency labour providers that meet Mercury’s compliance and quality expectations.
  • Work with the agency labour buyer to help align and standardise labour rates with suppliers.
  • Coordinate with Irish, UK and European project teams to understand current and future agency labour needs across different stages of each project.
  • Handle agency labour requests from project teams and arrange suitable staff through Mercury-approved providers.
  • Manage onboarding and off-hire activity, including worker details, start dates and communication with project time administrators.
  • Collect the required personnel data and complete system setup for each agency worker.
  • Support site time administrators so agency timesheets are entered and approved correctly and efficiently.
  • Work with labour providers, Mercury time administrators and accounts payable to resolve timesheet, payroll and process issues quickly and effectively.
  • Travel to existing and new Mercury projects across Europe to deliver on-site training for agency time administrators.
  • Own the agency labour process and ensure consistent procedures are followed across the Mercury Group.
  • Raise agency labour system issues with SAP Support and collaborate with IT support to help resolve technical problems.
  • Prepare weekly status updates and performance metrics for senior stakeholders.

Preferred Experience

  • Background in agency labour or contingent workforce coordination, including onboarding, off-hire and rate management.
  • Experience working with procurement, accounts payable and site/project teams to resolve timesheet and invoicing queries.
  • Working knowledge of SAP or a similar ERP/time and attendance system, including user setup, troubleshooting and data checks.
  • Advanced Excel capability, including pivot tables, lookups and data validation.
  • Experience creating KPI dashboards and status reports for senior leaders, covering headcount, spend, compliance and cycle times.
  • Experience training administrators or users, both face-to-face and remotely, and creating process guides or SOPs.
  • Understanding of labour compliance requirements across Ireland, the UK and the EU, including right-to-work checks, data privacy and record retention.
  • Prior exposure to project-based construction or engineering environments with multiple active sites.
