Role overview
This position supports the Senior Manager, PROX Transformation with practical coordination, documentation, data tracking, and day-to-day operational assistance for transformation programs. The work focuses on simplifying processes, improving readiness for automation, encouraging self-service adoption, strengthening project governance, and supporting change readiness across global GPSS teams.
Project coordination and tracking
- Keep project trackers, action registers, issue logs, and milestone status updated for PROX transformation work.
- Arrange meetings, record key decisions, and follow up with stakeholders on action items.
- Assist with leadership updates, project dashboards, and presentation decks.
Process documentation and SOP support
- Help document the current and target GPSS process flows.
- Develop and maintain SOPs, process maps, RACI charts, FAQs, checklists, and work instructions.
- Ensure documentation is structured, easy to search, consistent, and suitable for automation or AI use.
Data collection, analysis, and reporting
- Gather and organize operational information such as case volumes, turnaround times, service patterns, and adoption indicators.
- Maintain dashboards, trackers, benefit logs, process inventories, and reporting templates.
- Prepare concise summaries and basic analysis to aid decision-making.
AI, automation, and digital enablement support
- Support documentation for AI, automation, chatbot, workflow digitization, and self-service initiatives.
- Assist with requirements gathering, test scripts, UAT trackers, issue logs, and pilot feedback.
- Monitor readiness, adoption actions, open issues, and stabilization tasks.
Change management and communications support
- Draft communications, user guides, training materials, FAQs, and knowledge updates.
- Track stakeholder readiness, training completion, feedback, and adoption progress.
- Maintain change logs, communication schedules, and readiness checklists.
Operational support for transformation
- Support workshops, discovery sessions, stakeholder interviews, and process walkthroughs.
- Provide hands-on coordination and administrative support to keep transformation activities moving.
- Escalate delays, data gaps, missing inputs, and documentation risks quickly.
Experience and preferred background
The role typically suits someone with 2 to 5 years of experience in HR operations, shared services, project coordination, process documentation, or business support. Fresh graduates who have exposure to AI or automation projects may also be considered.
Tools and environment
You should be comfortable working with Microsoft Word, Excel, PowerPoint, SharePoint, Teams, and project tracking tools. Experience with ServiceNow, Workday, Power BI, Power Automate, Microsoft Copilot, SharePoint lists, or similar platforms is an advantage.
