Role Overview
As a Front Desk Associate, you will be the primary welcoming presence at the location and a key contact for members and visitors. You will work from one of WeWork’s locations on weekdays only and support the Community Management team. The exact nature of the role may vary depending on whether the site is a Classic location or an Enterprise location, since Enterprise sites can involve different holidays, systems, operational processes, relationship management needs, and property-related responsibilities.
Key Duties
- Create a warm, inviting atmosphere for members, guests, and occasionally their pets by greeting everyone who enters the space.
- Learn people’s names, respond to questions, and help resolve concerns so members and guests feel recognized and supported.
- Assist the Community Management team with daily front desk operations, including handling mail and packages.
- Help keep the building running smoothly by making small adjustments and supporting operational needs as they arise.
- Work under the guidance of the Community Associate, Community Lead, and Community Manager as needed.
- Develop strong knowledge of WeWork products and services and confidently promote relevant offerings to members and visitors.
- Maintain a positive service mindset while representing WeWork’s values and mission.
Front Desk Management
- Welcome all members and guests courteously and professionally.
- Staff the front desk during scheduled business hours and serve as the on-site contact at the Community Bar.
- Register and check in visitors in line with guest policy requirements.
- Introduce first-time visitors to the space and share useful information so they feel oriented and comfortable.
- Issue and collect keys for members and guests when required.
- Keep the front desk tidy, organized, and free of clutter.
- Inform members about food deliveries and package arrivals.
Member Engagement
- Build relationships by learning members’ and guests’ names and understanding their businesses.
- Record relevant member notes and details in WeWork systems.
- Answer questions accurately and recommend suitable WeWork products or solutions where appropriate.
- Spot opportunities to recognize member achievements and important milestones.
- Explain WeWork policies and procedures clearly to members and visitors.
- Recommend nearby restaurants, delivery options, catering services, outing venues, post offices, shipping centers, and supply stores.
Building Operations and Management
- Support day-to-day mail and package handling, including receiving, sorting, processing, and organizing items.
- Understand and explain mailroom and mail-handling policies.
- Monitor shared areas and make small fixes or resets such as picking up litter, straightening furniture, and tidying cushions.
- Help keep amenities stocked and available, including items such as treat bowls, keycards, and printers.
- Respond quickly and appropriately to emergencies or incidents, escalating and documenting them when needed.
About You
The ideal candidate is outgoing, service-oriented, and comfortable being the public face of the brand. You should enjoy meeting people from different backgrounds, thrive in face-to-face interactions, and be confident handling multiple tasks while keeping the member experience front and center. A background in hospitality, retail, or customer service is helpful, though not mandatory. Strong written and verbal communication, basic computer skills, and a collaborative, dependable approach are important. A secondary school certificate is preferred but not required.
