Role overview
The Scheduler will coordinate a high volume of patient cases each day and stay in close contact with multiple referring physicians’ offices. This position is part of the Front Desk Team and reports to the Office Manager.
Core duties
- Speak with patients and arrange surgical appointments for several physicians.
- Coordinate surgery dates and work with primary care providers each day so that histories and physical examinations are completed before the procedure.
- Prepare and complete the paperwork required for each case on the physicians’ schedules.
- Obtain pre-certification for procedures that need prior approval.
- Handle a busy workload, switch between tasks efficiently, and support a varied patient base.
- Assist the front office team whenever additional help is needed.
- Take on other assigned duties as necessary.
Education and experience
A high school education is required, along with at least 2 years of prior experience arranging appointments and/or surgeries. Experience dealing with insurance is also needed.
Knowledge expected
- Familiarity with clinic policies and procedures.
- Understanding of managed care agreements and utilization practices.
- Working knowledge of computer systems, software applications, and spreadsheets.
- Awareness of medical terminology and scheduling software.
Skills and abilities
- Ability to collect and report claim information accurately.
- Capability to resolve utilization-related issues.
- Strong written and spoken communication, plus solid customer service skills.
- Background in medical-office scheduling.
- Fast, accurate data entry.
- Patient, service-focused attitude.
- Ability to juggle multiple priorities, manage time well, and produce results.
- Excellent attention to detail.
- Intermediate computer literacy, including Microsoft Office.
- Ability to work effectively with medical teams and outside agencies.
- Strong problem-solving skills.
- Professional and courteous approach with internal and external customers.
Work environment
This role involves sitting and standing in a typical office setting. The environment is fast-paced, with substantial telephone work. Evening or weekend shifts may occasionally be required.
