Role overview
This position is based in Abu Dhabi and sits within a full-time, on-site working model. The role focuses on end-to-end contract administration, tender support, monitoring, and document control, with particular emphasis on legal, commercial, and governance compliance.
Contract administration before approval
- Examine contracts, amendments, addenda, and related paperwork to confirm they are ready for approval and signature.
- Guide the Contract Administrator on drafting quality and review standards.
- Prepare and negotiate complex or unusual contract terms when needed.
- Refine contractual wording so it matches approved templates, governance rules, and the acceptable risk position.
- Spot legal and commercial exposure and ensure suitable protections are included before approval.
- Work with Legal Counsel during the review cycle, resolve legal comments, and align the final contract position.
- Compile complete approval-ready contract packs and summaries for authorized signatories.
Tendering support
- Assist tender and bid activities from a contractual and compliance standpoint.
- Assess tender documents to identify deviations, commercial concerns, and contract risks.
- Prepare or review clarifications, deviation schedules, and draft responses on contract terms.
- Coordinate input from Legal Counsel on tender-related clauses where necessary.
- Support contractual discussions after tender submission and before award, under management guidance.
Contract monitoring, tracking, and reporting
- Supervise and verify the contract monitoring register maintained by the Contract Administrator so it remains complete and accurate.
- Ensure expiry tracking is active and that the execution team receives timely alerts for renewals, extensions, or closure actions.
- Check the status of contracts in process and flag delays, bottlenecks, or staffing limitations.
- Track processing turnaround times from receipt to signature and escalate emerging issues or risk patterns when required.
- Review and approve dashboards and reports before they are shared.
- Provide confirmed contract information to the execution team as needed, including active contract counts, processing status, upcoming expiries, and throughput/lead-time data.
Documentation and contract control
- Make sure contracts sent for signature are complete, accurate, and ready for approval.
- Oversee the indexing, compilation, and archiving of fully executed contracts.
- Ensure finalized agreements are shared with the relevant internal teams.
- Maintain strong document control discipline and compliance standards without handling routine filing tasks.
Qualifications and experience
- A bachelor’s degree in Engineering or Law, or a strong legal background, is required.
- At least 5 years of experience in contract administration, drafting, and negotiation is expected.
- Previous exposure to the Middle East and its contracting practices is important.
- Experience working with in-house or external Legal Counsel is needed.
- A solid grasp of contractual governance, approval flows, and risk management is essential.
