Role overview
Gensler is looking for a highly organized and proactive Project Coordinator to partner with the Co-CEOs and leadership team on strategic initiatives, firmwide communications, and cross-firm engagement efforts. Reporting to the Director of Strategic Initiatives, you will help connect work across Regions, Offices, Communities, and the Global Hub by turning ideas into practical action through a mix of coordination, administration, and people-focused execution.
This position suits someone who enjoys bringing order to complex work, keeping multiple stakeholders aligned, and making sure important initiatives move from planning into delivery. You will work in a fast-moving environment, balancing several priorities at once while keeping a collaborative, human-centered approach.
A major part of the role involves supporting leadership meetings and engagement programs by helping ensure that the messaging, content, and intended outcomes stay aligned across the firm’s in-person and virtual touchpoints. You will also support leaders in reinforcing growth priorities, building alignment, enabling change, and strengthening connectivity across the organization.
The position offers broad visibility across the business, direct exposure to senior leadership, and room to develop into a trusted project management and strategic support partner over time.
Key responsibilities
- Handle confidential information carefully, maintain a high level of professionalism, and represent the Hub and the firm’s brand with discretion and integrity.
- Support the Co-CEOs, COO, and Director of Strategic Initiatives in coordinating projects that advance firm priorities, including work connected to Regions & Offices Community leadership.
- Build templates and practical tools to monitor strategic initiatives tied to growth and organizational change.
- Develop and maintain project plans, timelines, and communication workflows, while tracking decisions, commitments, and action items from leadership meetings.
- Prepare drafts for emails, agendas, presentations, talking points, meeting packs, executive summaries, and internal communications, and distribute materials ahead of meetings and calls.
- Assist with strategic planning, leadership pipeline activities, leadership meetings, retreats, and firmwide gatherings by shaping agendas, content flow, key messages, presentations, and follow-up actions.
- Work with Executive Communications, Travel & Meetings, and other teams so leadership messaging stays aligned across engagement opportunities.
- Create continuity across meetings, initiatives, and communications so priorities are reinforced over time rather than treated as isolated events.
- Support change management efforts through communication planning, stakeholder engagement, adoption tracking, and feedback collection.
- Spot opportunities to improve coordination, consistency, and communication across leadership initiatives.
- Carry out research and analysis to help inform decisions on strategic projects.
- Manage operational and administrative tasks that support leadership priorities, stepping in wherever needed with flexibility.
- Coordinate with Executive Assistants to stay aware of the Co-CEOs’ calendars and engagements, and connect with Executive Communications on upcoming needs.
- Develop strong working relationships with RMPS, OMDs, Executive Communications, Travel & Meetings, Research Institute, Marketing, and Hub & Community teams to improve collaboration, alignment, and visibility.
Requirements
- A bachelor’s degree is mandatory.
- Three to five years of experience in project coordination, program management, internal communications, organizational effectiveness, operations, event content management, or a similar area.
- Proven success managing several projects at once with strong organization, attention to detail, and consistent follow-through.
- Excellent written and spoken communication skills, including preparing presentations, meeting materials, and executive-facing communications.
- Ability to turn complex information into clear deliverables for different audiences.
- Comfort working in a fast-paced setting with changing priorities and deadlines.
- Strong relationship-building and collaboration skills across all levels of an organization.
- Confidence supporting senior leaders with professionalism, responsiveness, and discretion.
- Ability to engage appropriately with senior leadership, clients, and external organizations.
- Self-directed, resourceful, adaptable, and willing to take ownership of both major initiatives and day-to-day tasks.
- Interest in building capability in organizational communication, leadership engagement, and change management.
- Microsoft Suite proficiency is required; Adobe Suite knowledge is preferred; comfort experimenting with AI prompts is also preferred.
- Familiarity with Gensler’s collaborative, one-firm culture and client-centered business approach is preferred.
- Willingness to travel occasionally.
Compensation and benefits
The estimated base pay for this role is $85,000 to $100,000, along with bonuses and benefits, depending on relevant experience.
