Overview
This is a six-month contract based in London to support a Senior Vice President in a fast-moving business environment. The role is inside IR35 and the preferred start is as soon as possible, so candidates who can begin at short notice will be prioritised.
The position suits an experienced Executive Assistant who enjoys working closely with senior leaders, managing changing priorities and contributing across a broad range of business activities. It goes well beyond standard diary coordination and includes executive communications, presentation preparation, stakeholder liaison and support on wider initiatives.
Key responsibilities
- Provide full executive support to a Senior Vice President.
- Keep a demanding calendar organised and ensure competing priorities are handled effectively.
- Arrange complex travel, meetings and related logistics for UK and international requirements.
- Manage incoming emails, calls and requests on behalf of the executive, acting as a reliable first point of contact.
- Develop and maintain strong working relationships with senior internal and external stakeholders.
- Create polished presentations, board packs and PowerPoint materials for leadership use.
- Set up meetings, prepare agendas, compile supporting documents and record minutes when needed.
- Treat sensitive and confidential information with professionalism and discretion.
- Work with teams across the organisation to track actions and support timely delivery of deadlines.
- Handle purchase orders, invoices and contract processing.
- Assist with visitor coordination and the onboarding of new colleagues.
- Look for opportunities to improve processes and working methods.
- Offer support and practical guidance to coworkers when required.
What we are looking for
- Proven background supporting senior executives, ideally at Senior Vice President or Director level.
- At least five years of experience in an Executive Assistant or comparable role.
- Strong capability in Microsoft Office, especially Outlook, PowerPoint, Word and Excel.
- Excellent planning, organisation and time-management skills.
- Very high attention to detail.
- Strong written and spoken communication skills.
- Confidence in building relationships across all levels of an organisation.
- A proactive, adaptable and positive approach to work.
- Ability to manage confidential matters with integrity and discretion.
