Role overview
This position is focused on managing day-to-day office documentation for a corporate environment. It involves accurate filing, structured archiving, and documentation support across several internal teams. This is not a project-based document control role; instead, it supports broader administrative and corporate functions.
Key responsibilities
- Keep office registers current, including correspondence logs, approval records, drawings, and tender files.
- Upload, number, track, and circulate documents through the EDMS for office records.
- Assist with tender packages, contract paperwork, and engineering-related deliverables.
- Make sure documents follow internal filing procedures, standard templates, and ISO requirements.
- Work with project document controllers whenever coordination is required.
- Safeguard confidential HR and management records with appropriate discretion.
Requirements
- Between 5 and 10 years of experience in a relevant field.
- Background in office documentation rather than only site-based document control.
- Well-developed organizational and archiving ability.
- Working knowledge of EDMS plus strong proficiency in Microsoft Office tools.
- Experience in engineering or construction office settings.
- Exposure to tendering and contract documentation support.
- Familiarity with Aconex, SharePoint, or similar EDMS platforms.
- Strong command of Excel, PDF handling software, and version control processes.
- Experience with file archiving and retrieval systems.
- Diploma or an equivalent qualification in Business Administration or a related area.
