Role Overview

The Assistant Manager - Operations (Sales Ops) will own the full post-sale transaction workflow for Bayut KSA. This includes validating payments, ensuring document compliance, managing SPA control, confirming revenue readiness, and coordinating across internal and external stakeholders to support accurate closure of transactions and dependable revenue recovery. The role is central to the Sales Ops function and partners closely with Sales, Commercial, Finance, Developers, and Customer Support. It also involves leading associate-level team members, monitoring performance, and supporting their growth.

Key Responsibilities

  • Manage receipt of customer payments and verify proof of payment.
  • Confirm that payment evidence is complete, authentic, and submitted within required timelines.
  • Work with Finance to validate and reconcile payments.
  • Monitor payment-related service levels and escalate any delay or mismatch.
  • Check booking forms for accuracy and completeness.
  • Ensure consistency between booking forms, CRM entries, and payment details.
  • Coordinate the creation, receipt, and validation of Sale & Purchase Agreements (SPAs).
  • Confirm that SPA information matches system data and booking records.
  • Maintain accurate documentation logs and audit-ready records.
  • Track SPA issuance progress for all relevant transactions.
  • Verify that SPAs are issued by developers, signed by the necessary parties, and approved before closure.
  • Support revenue recognition readiness by making sure all documentation and verification requirements are fulfilled.
  • Coordinate with Finance on invoice eligibility and supporting paperwork.
  • Build and maintain transaction status reports such as DP vs SPA aging, Verified Closed Won status, and developer-wise recovery readiness.
  • Partner with Sales, Documentation, Finance, and Developers to move transactions forward and resolve blockers.
  • Ensure developer documentation requirements are completed within agreed timelines.
  • Support internal teams through the Ops/Sales Ops hotline for transaction-related questions.
  • Assist with customer support related to transaction processing, documentation, and complaints.
  • Coordinate resolution of transaction issues, including refunds where relevant.
  • Ensure adherence to approved policies, SOPs, and workflow standards.
  • Spot operational gaps, bottlenecks, and recurring issues, then recommend improvements.
  • Help implement system-based controls and strengthen CRM usage.
  • Guide associate team members, track task completion, monitor performance, and support continuous development.

Requirements

  • Bachelor’s degree in Business Administration, Operations Management, Finance, or a related discipline.
  • Additional certifications in operations, compliance, or project management are an advantage.
  • 5 to 7 years of experience in operations, sales operations, or transaction management.
  • Experience in real estate operations is preferred.
  • Background in post-sale execution or document-intensive roles is highly desirable.
  • Experience in the KSA or GCC real estate market is a strong plus.
  • Strong understanding of transaction workflows.
  • Hands-on experience with payment verification and document handling.
  • Ability to manage SPAs and complex documentation processes.
  • Capability to prepare reports and dashboards using Excel or CRM tools.
