Role Overview

This on-site Payroll Specialist position near Buffalo, NY is suited to someone who is highly detail-focused and experienced in weekly payroll processing. The role sits in a busy, deadline-sensitive environment and supports a growing company with multiple branch locations.

The successful candidate should be comfortable handling certified payroll, prevailing wage rules, and New York State labor requirements, while working closely with operations and HR to keep payroll, job costing, and workforce records accurate.

Key Responsibilities

• Run weekly payroll for more than 100 employees accurately and on time.
• Prepare certified payroll documentation in line with federal, state, and local rules.
• Apply prevailing wage requirements correctly and ensure employees are classified properly.
• Enter large volumes of job and project details into the payroll system with care and accuracy.
• Review and maintain employee time records, including the correct prevailing wage rates tied to job role and project needs.
• Process deductions, garnishments, and tax withholdings accurately.
• Follow New York State payroll and labor regulations at all times.
• Investigate and resolve payroll differences and employee questions quickly.
• Keep payroll files secure and protect confidential information.
• Partner with operations and HR on workforce tracking and job costing.
• Support audits, payroll reporting, and year-end activities such as W-2 preparation.

Requirements

• At least 5 years of payroll experience, ideally in construction, traffic control, or a similar field-based setting.
• Strong hands-on experience with certified payroll and prevailing wage compliance.
• Familiarity with payroll structures that use project-based or multiple pay rates.
• Good knowledge of New York State wage and hour laws.
• Experience managing large-volume weekly payroll cycles.
• Comfort using payroll software and Microsoft Excel.
• Excellent attention to detail and strong organizational habits.
• Ability to work under pressure, set priorities, and meet tight deadlines.
• Clear communication skills and a practical approach to problem-solving.
