Position Summary

This role supports the human resources team with a strong emphasis on recruiting, onboarding, and compliance-related work. It combines administrative coordination with employee service support to help keep HR operations running smoothly.

Key Responsibilities

The assistant will carry out assigned duties from the designated campus or worksite and help manage recruiting workflows, onboarding steps, and HR recordkeeping.

  • Support hiring activities by creating pool postings, closing searches, and starting background check requests.
  • Track and complete pre-employment requirements, including distributing and collecting new-hire paperwork and sending pre-onboarding messages.
  • Answer general questions about the applicant tracking system, job postings, and the application process.
  • Complete I-9 verification for new hires, including coordinating off-site verifications when needed, and audit I-9 files according to federal rules and retention schedules.
  • Process employee lifecycle changes in the HR information system, such as assigning employee ID numbers, setting up new profiles, and updating records for status changes and separations.
  • Create, maintain, archive, and organize physical personnel files in line with system retention and purge requirements.
  • Support annual temporary employee and faculty contract renewal processes.
  • Work with HR colleagues on onboarding programs, special assignments, and daily office operations.
  • Serve as the main contact for the office by handling the primary phone line and HR inbox, answering routine questions, and directing specialized matters to the right HR staff member.
  • Help build tools, resources, and communication channels that improve the employee experience and the delivery of HR services.
