Role Overview
This position is for a highly organized, proactive, and discreet Personal Assistant who will support the CEO across both personal and operational needs. The role combines household coordination, calendar control, and internal office support, so it suits someone who can stay ahead of priorities and work well in a fast-moving, trust-based environment.
The ideal person will enjoy a role with variety and ownership, helping keep the CEO’s day running smoothly while also handling family logistics and office coordination.
Personal Support for CEO and Family
- Arrange and keep track of personal appointments such as medical visits, childcare-related scheduling, and household service bookings.
- Handle personal bill payments carefully and on time.
- Coordinate travel for the CEO and family, including flights, stays, and full itineraries.
- Take care of errands and local logistics within New York City.
- Help plan and execute family gatherings, celebrations, and similar events.
- Support special tasks and personal projects assigned by the CEO.
Office and Calendar Management
- Maintain the CEO’s calendar and ensure meetings, appointments, and daily priorities are organized effectively.
- Build the CEO’s daily briefing and agenda, including key context and background material.
- Order office supplies and coordinate with vendors and service providers.
Candidate Profile
This role calls for someone with prior experience in personal assistance, office support, or a similar administrative position. You should be highly organized, comfortable managing logistics and longer-range planning, and able to communicate clearly and professionally.
Because the work involves sensitive personal and business information, discretion and trustworthiness are essential. The right candidate will be self-directed, adaptable, responsive to changing priorities, and comfortable using digital tools such as Google Workspace, Airtable, and calendar management systems.
Preferred Experience
Experience in personal or administrative support for 2 to 4 years is preferred. Familiarity with New York City services, schools, and scheduling logistics would be an advantage. Experience with time tracking and billing or payables support is also a plus.
Compensation and Schedule
The starting annual salary is between $55,000 and $70,000. There is also potential for a discretionary bonus tied to the quality of personal support, time management, and organizational impact across both home and office operations.
The expected schedule is Monday through Friday, from 8:00 AM to 5:00 PM, aligned with the CEO’s working hours. Occasional evening or weekend availability may be required.
