Role Overview

ME+EM is seeking a Buying Admin Assistant to support the knitwear buying function from its West London head office at White City Place. This is a full-time position of 37.5 hours per week and reports to the Assistant Buyer.

What the Role Involves

This role plays an important part in the buying team, with responsibility for supporting order administration, sample handling, and pre-production activity. You will work alongside suppliers, internal departments, and an intern to help keep the product development process running smoothly through to production.

Core Responsibilities

  • Prepare purchase orders accurately and on time, making sure all required details such as size splits, costs, and barcodes are collected in line with the critical path.
  • Revise purchase orders whenever product details change during development.
  • Refresh the barcode sheet every day and share the updated version with Trimco each week.
  • Oversee sample tracking and meeting preparation, including proto meetings and fit sessions, while supporting the intern in this process.
  • Help gather bulk samples, fabrics, and yarns for design, technical, and retouching teams.
  • Manage sample storage, archiving, and preparation for sample sales.
  • Maintain press and photo sample trackers, including all requests and returns.
  • Keep CP/Fit lists and related tracking files updated with supplier tracking numbers.
  • Support preparation of pre-production samples and hand over new styles for the monthly pre-production cycle.
  • Assist with pre-production meetings, including preparing the contact sheet and distributing the intake board PDF to the shoot team in advance.
  • Support sample packing for off-site shoots and keep the Twenty Twenty tracker updated each month.
  • Input product data such as web measurements, wash care instructions, and compositions into the product launch document for each book.
  • Upload the necessary documents into Elucid to support U.S. customs clearance.
  • Work with suppliers and AAB to obtain HS codes quickly and accurately.
  • Coordinate DHL and courier activity and assist with incoming and outgoing post.
  • Keep department files and documentation organised and up to date.
  • Support the Assistant Buyer with updates to the fit list and critical path.
  • Maintain a tidy office and studio environment every day.
  • Build effective working relationships with head office, store, and warehouse teams, as well as with suppliers and logistics partners.

Requirements

  • Excellent organisational ability and confidence handling several priorities at once.
  • A strong eye for detail and a high level of accuracy in documentation and order management.
  • Capability to guide and support interns effectively.
  • Clear communication skills for working with suppliers, internal stakeholders, and courier/logistics contacts.
  • Good working knowledge of Microsoft Excel, Elucid, and tracking tools.
