About the Organization
The South American Institute for Politics and Strategy (ISAPE) is a knowledge- and heritage-focused organization dedicated to protecting, structuring, and maintaining historical, institutional, and cultural records. Its work spans information management, cultural heritage, research, legal compliance, digital transformation, administration, and executive leadership to keep important records preserved, retrievable, and handled in line with global archival practices.
Role Overview
The organization is looking for a seasoned Archives Manager to take charge of archival operations, records governance, and digital preservation work. This role is responsible for managing archival systems, supervising both paper and digital collections, ensuring standards and compliance are met, and supporting research, governance, and the long-term safeguarding of institutional memory.
Core Responsibilities
- Create and implement archive management plans that support organizational goals, records governance requirements, and long-term preservation priorities.
- Direct the intake, evaluation, sorting, indexing, preservation, and retrieval of physical and electronic archival assets.
- Work closely with legal, compliance, research, IT, heritage, administration, and leadership teams to maintain effective records governance and information control.
- Apply archival frameworks, classification structures, metadata rules, retention policies, and digital preservation methods.
- Run digitization initiatives, electronic document management systems, and archival databases to improve access and safeguard records.
- Track performance indicators such as retrieval accuracy, cataloging speed, digitization progress, preservation outcomes, user satisfaction, and compliance levels.
- Maintain adherence to national archive laws, data protection obligations, intellectual property rules, and international standards such as ISO 15489 and ISAD(G).
- Audit archival repositories, record inventories, and documentation processes to confirm completeness, accuracy, and integrity.
- Design preservation approaches for delicate, historic, and high-value materials using conservation practices and environmental controls.
- Handle research requests, internal inquiries, and public access needs while protecting confidentiality and security.
- Produce archive reports, inventory summaries, compliance files, preservation plans, and leadership updates.
- Guide, coach, and develop archivists, records officers, digitization staff, and archive support teams, encouraging accuracy and continuous improvement.
Requirements
- A bachelor’s degree in Archival Studies, Library Science, Information Management, History, Cultural Heritage, or a closely related discipline.
- A master’s degree in Archival Science, Library and Information Science, or Records Management is a strong advantage.
- At least 5 years of experience in archives management, records management, information governance, or cultural heritage documentation.
- At least 2 years of experience leading archival teams, digital preservation initiatives, or records governance programs is preferred.
- Solid knowledge of archival theory, records classification, metadata standards, digital preservation, and information governance practices.
- Hands-on experience with archive management platforms, digital repositories, document management systems, metadata tools, and Microsoft Office.
- Exposure to ISO-based archival standards, data protection requirements, conservation methods, and digitization processes is beneficial.
- Strong organization, analysis, research, documentation, and problem-solving skills.
- Excellent communication, stakeholder coordination, cataloging precision, and cross-functional teamwork skills.
- Ability to manage large archival environments while balancing preservation, access, compliance, and efficiency.
- Comfort working independently in remote and hybrid work settings.
Work Arrangement
This is a full-time position based in the United Arab Emirates, with a remote or hybrid setup and on-site archival site work as needed.
