Role Overview
EM Services Pte Ltd is looking for a contract Administrative Assistant to support contract administration, tender coordination, document control, and day-to-day clerical tasks in Singapore.
Key Duties
- Draft tender documents and prepare related reports.
- Coordinate with the advertising agency to organise tender advertisements.
- Assemble tender packs and maintain forms such as PTR and the Tender Register.
- Handle tender closing on the due date and time, then publish tender outcomes.
- Put together contract documentation and support the execution process.
- Manage both physical and digital filing, including scanning and uploading records to the file-sharing platform.
- Track and update R & R and re-roofing schedules in the Property Data System, and prepare annual budget estimates for cyclical Town Council works.
- Prepare payment vouchers and claims submissions.
- Compile Term Contract SORs for upload into the Town Councils’ Works Order System.
- Prepare the yearly report on consultant performance assessments.
- Carry out additional general administrative and clerical duties as needed.
Requirements
- NITEC or Diploma qualification.
- A-level or other tertiary education background.
- Self-motivated, careful with details, and able to work well with others.
- Comfortable handling work under tight deadlines.
