Role overview
The Tampa ESPN office is looking for a highly organized Events Coordinator to support the Gasparilla Bowl, the Clearwater Softball Invitational, and the ESPN Events Basketball Invitational on a part-time basis. Working under the direction of the Manager, this role helps drive the operational and sponsorship work that keeps each event on track and running smoothly.
The position suits someone with a solid foundation in administration, budgeting, sponsorship coordination, event logistics, and client communication. It also offers practical exposure to collegiate event execution and the chance to build relationships with sponsors, vendors, civic leaders, university administrators, and ESPN teams.
Event operations
- Support event planning across logistics such as setup, breakdown, credentials, vendor coordination, and volunteer oversight.
- Help maintain and update event websites and AI-related tools or content.
- Oversee storage, apparel organization, and distribution activities.
- Remain flexible and ready to take on additional tasks as business needs change, including project work beyond the listed duties.
Sponsorship support
- Research potential sponsorship prospects and partnership opportunities.
- Assist with building and tailoring sponsor decks and presentations.
- Support sponsorship contracting, fulfillment, invoicing, tracking, and post-event recaps.
- Maintain an internal tracker for sponsorship deliverables and contractual obligations.
- Communicate timelines and progress updates to sponsors regularly.
- Help coordinate sponsor-facing events, signage, and activation plans.
- Act as a responsive day-to-day contact for assigned sponsors.
Budgeting and administration
- Help manage event budgets on a monthly basis.
- Enter, monitor, and reconcile expenses.
- Assist leadership with budget reporting and supporting documentation.
Administrative support
- Provide general administrative help to leadership, including scheduling, document management, expense reporting, and file organization.
- Assist with meeting setup, note-taking, and follow-up items.
- Support on-site event execution as assigned.
Additional information
This is a part-time role based in Tampa, Florida. The hourly pay range is $27.71 to $33.15, calculated on a 29-hour work week. Weekly hours may change depending on business requirements. Compensation may also include a bonus and/or long-term incentive units, along with the applicable benefits package.
Required qualifications
- At least 1 year of experience in a professional environment.
- Self-driven mindset with experience in athletics and/or event operations, plus a strong willingness to contribute wherever needed.
- Excellent organization, attention to detail, and strong written and verbal communication skills.
- Ability to manage multiple priorities, work collaboratively, and stay effective under tight deadlines.
- Capability to carry out the duties of the role with or without reasonable accommodation.
- Comfort using Microsoft Office Suite (Word, Excel, PowerPoint), Dropbox, and SharePoint.
- Valid driver’s license and dependable transportation.
- Willingness to work extended hours, including evenings, weekends, and holidays.
- Ability to work from home when required.
- Availability during the following event windows: Basketball Event Week: November 19-28, 2026 (subject to change); Bowl Week: December 12-19, 2026 (subject to change); Softball Event Week: February 16-21, 2027 (subject to change).
Preferred qualifications
- 2 or more years of experience in sports or events, such as work with a professional team, local organizing committee, Convention & Visitors Bureau, athletic department, or similar organization.
- Background in event operations and sponsor management.
- Familiarity with college football, softball, basketball, and the college bowl system.
- Knowledge of ticket sales and corporate sales.
- Graphic design abilities are a strong plus.
Education
A high school diploma or equivalent is required. A four-year college degree is preferred.
Compensation notes
The role is paid hourly. No stipend is provided. The company notes that base pay may vary based on internal equity, location, knowledge, skills, and experience. A bonus and/or long-term incentive units may also be offered.
