Role Overview

The Material Handling Coordinator supports day-to-day material handling activities, with responsibility across ground rigging, warehouse coordination, and forklift order administration. The role is focused on keeping operations efficient, information accurate, and processes compliant while working closely with internal teams, customers, vendors, and leadership.

What You’ll Do

  • Review material handling activity through both on-site and virtual audits during events to confirm compliance, accuracy, and smooth execution.
  • Monitor material handling inboxes, respond promptly, route requests correctly, and follow through until items are resolved.
  • Complete Warehouse Live tasks to support correct data transfer and system updates.
  • Create, review, and manage forklift order tickets, making sure records are complete, accurate, and properly documented.
  • Flag any unusual or specialty material handling needs for leadership review and approval, including special equipment, labor, or constraints.
  • Share forklift tickets with internal teams to support tracking, execution, and post-event reconciliation.
  • Gather, organize, and interpret ground rigging data, then build detailed spreadsheets and production plans that support execution.
  • Act as a point of coordination between customers, vendors, and associates so information moves clearly and consistently.
  • Coordinate ground rigging schedules, labor requirements, and equipment needs with internal departments.
  • Take part in planning and budget discussions by providing operational input and recommendations tied to rigging and material handling resources.
  • Prepare, maintain, and circulate documentation related to scheduling, operations, and billing workflows.
  • Handle customer communication and on-site coordination for ground rigging services while maintaining a strong service experience.

Requirements

  • A minimum of 5 years of administrative experience in a busy, high-volume environment; prior supervisory experience is preferred.
  • Background in material handling, logistics, warehouse operations, or event management is strongly preferred.
  • Practical understanding of ground rigging, transportation logistics, or warehouse operations.
  • Experience using company-approved AI tools and platforms such as Copilot or Claude is preferred.
  • Experience with Salesforce or a comparable CRM platform is preferred.
  • Availability to work evenings, weekends, and holidays when business demands or event schedules require it.
  • Strong analytical thinking and problem-solving ability.
  • Ability to manage several priorities, deadlines, and deliverables at the same time.
  • Excellent written and verbal communication skills.
  • Comfortable using Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • High school diploma or equivalent is required.
