Role Overview
As the Executive Assistant to one of Giga Energy’s founders, you will serve as the operational anchor that keeps day-to-day work moving smoothly. You will handle the details that let the executive stay focused on higher-level priorities, and you will act as a dependable partner who can anticipate needs, solve problems independently, and keep important work from slipping through the cracks.
The core of the position is threefold: managing the executive’s calendar with precision, handling a busy inbox by drafting and replying to messages in the executive’s tone and judgment, and coordinating all bookings and logistics, including travel, meetings, and reservations. This is a role for someone who performs well under pressure, moves quickly, and takes pride in being highly reliable.
Work Location
This position is based in the Houston office. The role follows a hybrid arrangement that depends on the days the executive is onsite.
Responsibilities
- Take full ownership of the executive’s calendar, including conflict resolution and prioritization of commitments.
- Write, manage, and respond to email communications on behalf of the executive with professionalism and accuracy.
- Manage NDAs, confidential paperwork, and other time-sensitive documents with complete discretion.
- Arrange domestic and international travel, including itineraries, lodging, and ground transport; roughly 30% travel is expected.
- Keep CRM information updated in HubSpot and support daily workflows across Google Workspace.
- Exercise independent judgment when the executive is unavailable and act as a trusted stand-in when needed.
- Spot repetitive or time-consuming tasks early and take initiative before they create delays.
- Stay responsive during extended business hours from 7 AM to 11 PM as business needs require.
Requirements
- At least 3 years of experience as an Executive Assistant or in a similarly demanding administrative role.
- Strong command of Google Workspace and the ability to start effectively with minimal onboarding.
- Experience balancing multiple priorities in a high-pressure, fast-paced setting.
- Proven ability to use sound judgment and make decisions on behalf of senior leadership.
- Excellent written communication skills, including managing executive-level correspondence.
- High level of discretion when handling confidential and sensitive information.
- Willingness to work extended hours and remain reachable outside standard business times.
Preferred Background
- Prior experience in a technology company or high-growth startup.
- Working knowledge of Microsoft Excel and other productivity tools.
- Educational or professional background in Business, Engineering, or a related discipline.
- Experience organizing complex, multi-stop travel plans.
- Familiarity with HubSpot.
