Role Summary

The Project Coordinator supports administrative, organizational, and entry-level project management work so projects stay on track, consistent, and aligned with Courser’s operating standards. Key Duties

  • Keep project files, artifacts, and systems of record organized according to Courser standards, including storing materials in SharePoint as required by artifact governance rules.
  • Arrange project calendars, meetings, and resource coordination across internal teams.
  • Monitor tasks, milestones, dependencies, and follow-up items, and check in with task owners as needed.
  • Make sure essential project documents are created, updated, and filed correctly.
  • Help prepare for onboarding, project kickoff, and project closure.
  • When assigned, manage Minor Projects under the direction and oversight of a Regional Project Manager.
  • Carry out standard project coordination work such as tracking timelines, sharing status updates, and escalating scope or delivery issues when needed.
  • Prepare and send status reports, meeting summaries, and action-item recaps.
  • Support clear and timely communication with clients and internal stakeholders.
  • Assist Regional Project Managers with polished reporting and documentation for leadership-level use.
  • Support project setup by confirming finance setup and required approvals are complete.
  • Verify that the Acceptance Package is complete before project launch, including the ConnectWise Opportunity, customer-signed quote, and approved SOW; escalate missing items to the overseeing RPM.
  • Track time entries, expense records, and billing readiness as directed.
  • Assist with change request documentation and routing so customer written approval is obtained before work begins, in line with Courser standards.
  • Follow existing project management processes, templates, and governance standards.
  • Look for process gaps or inefficiencies and suggest improvements.
  • Support the use of standardized tools, workflows, and governance practices.

Qualifications

A suitable candidate will have an Associate’s or Bachelor’s degree in Business, Project Management, Information Technology, or a related discipline, or equivalent practical experience.
