Role overview
The Order Management Specialist will independently handle complex, business-critical orders throughout the Quote-to-Cash lifecycle. This position is responsible for resolving escalations, maintaining order accuracy and compliance, and identifying opportunities to improve processes. The role requires minimal supervision and close collaboration with teams across the business to improve efficiency, reliability, and scalability in order operations.
Key responsibilities
- Take full ownership of intricate customer orders from start to finish, making sure they are processed accurately and on time.
- Review contracts, purchase orders, and commercial deal structures to confirm they match internal systems and policy requirements.
- Investigate order issues and handle escalations by identifying the underlying cause and preventing repeat problems.
- Work with Sales, Finance, Legal, Revenue Operations, and Fulfilment teams to validate inputs and improve workflows.
- Ensure all activities follow company policy, compliance standards, and audit expectations.
- Spot process bottlenecks and inefficiencies, then recommend and help implement improvements.
- Help develop and maintain process documentation, standard operating procedures, and training resources.
- Support teammates through guidance and informal mentoring, while helping strengthen overall team capability.
Requirements
- At least 3 years of experience in Order Management, Sales Operations, or a related Quote-to-Cash function.
- Hands-on experience with CRM and ERP platforms, including reporting and data analysis.
- Strong background in managing complex transactions and resolving escalated issues.
- Experience working in fast-moving, cross-functional environments.
- Bachelor’s degree preferred, or equivalent practical experience.
- Advanced knowledge of order management tools such as Salesforce and ERP systems.
- Excellent attention to detail with the ability to verify accuracy and completeness of orders.
- Strong analytical ability to assess issues and provide clear, data-backed recommendations.
- Effective communication skills for working with stakeholders at different levels and across functions.
- Ability to identify improvement opportunities and contribute to operational efficiency.
- Capable of leading small initiatives or projects independently.
- Good understanding of compliance, audit controls, and internal governance.
- Ability to manage priorities and balance multiple competing tasks effectively.
