Role Overview
The Office Manager will oversee the smooth day-to-day running of the office, showroom, and support functions. This role brings together administration, team coordination, process control, inventory oversight, and support for fit-out operations, while also assisting senior leadership and keeping internal systems organised.
Key Responsibilities
You will be responsible for coordinating daily operations, maintaining office standards, supporting the fit-out team, and keeping administrative processes on track. The role also includes assisting with records, reporting, and social media updates.
- Plan daily work schedules for the on-site fit-out team and allocate trusted third-party contractors to projects as needed.
- Track ongoing project progress to make sure installations meet company standards and client expectations.
- Maintain accurate and confidential personnel records, including attendance, leave, and onboarding schedules.
- Act as PA to the Managing Director.
- Develop, implement, and maintain practical office procedures that improve efficiency and client experience.
- Monitor and approve supply requests while keeping office and showroom stock at appropriate levels.
- Ensure the office, showroom, canteen, and games area stay clean, presentable, and fully functional for employees and visitors.
- Manage incoming and outgoing communications across email, post, and phone, and distribute clerical work to avoid delays.
- Organise project filing systems for the accounts team, including matching supplier invoices to specific fit-out jobs.
- Maintain a secure record-keeping system for storing, protecting, transferring, and disposing of company documents appropriately.
- Prepare regular operational updates for senior management and monitor budget-related expenditure.
- Help maintain the company’s online presence by posting regular social media updates.
- Work with the in-house accounts team to ensure completed projects move forward for invoicing.
Qualifications and Skills
The ideal candidate is organised, proactive, and comfortable working in a busy, fast-moving environment. Strong people management, communication, and technical skills are essential for success in this position.
- Ability to supervise staff, assign tasks effectively, and support process improvements.
- Strong written and verbal communication for liaison with management, contractors, teams, and clients.
- Good financial awareness and the ability to support project-to-invoice workflows with the accounts team.
- Confidence using modern phone systems and Microsoft Office applications.
- Hands-on experience with Microsoft Office tools is required.
- Experience with CRM systems and Sort My Books for purchase order creation.
Education and Experience
- Leaving Certificate, GED, or an equivalent qualification is required.
- At least 3 years of office administration experience, or 2 years of office management experience, is required.
- Experience in a busy, fast-paced environment is preferred.
Work Details
- Full-time, permanent position.
- Working hours are 9:00 am to 5:00 pm.
- Schedule is Monday to Friday with an 8-hour shift.
- This is an in-person role based in Swords, Co. Dublin.
