About the Opportunity
This role sits within a rapidly expanding import-export business in the UAE that supports cross-border logistics, sourcing, and supply chain coordination for clients across regional and international markets. The environment is energetic and deadline-driven, with a strong need for structure, accuracy, and clear communication. The Office Coordinator will play a central role in keeping day-to-day office operations running efficiently.
Role Overview
The Office Coordinator will handle front-office activities, office administration, document control, scheduling support, and coordination between internal teams and outside partners. This position is well suited to someone who is organized, service-oriented, and comfortable juggling multiple priorities in a busy commercial setting.
Key Responsibilities
- Oversee reception duties by welcoming visitors professionally and directing phone calls to the right teams.
- Track office consumables, arrange equipment upkeep, and coordinate vendor support so routine operations continue without disruption.
- Keep both digital and paper records organized, including contracts, invoices, import/export files, and HR-related documents.
- Assist with meeting arrangements, travel bookings, and calendar coordination for senior staff.
- Support HR and finance functions with onboarding documentation, expense records, and compliance-related paperwork.
- Serve as a communication link between in-house teams and external counterparts such as freight forwarders, customs brokers, and local service providers.
Skills and Qualifications
The ideal candidate should be comfortable using common office and administrative systems, and should bring a practical approach to coordination, record-keeping, and professional communication. Experience in customer-facing or administrative support roles will be valuable in this position.
Preferred Background
Applicants with exposure to import-export, logistics, or trade operations may be especially well suited. Familiarity with UAE trade procedures and the ability to communicate in Arabic would be an added advantage.
