Role overview
This position is for an Executive Assistant supporting the SVP, Chief Operating Officer of UK&I, along with their Vice Presidents at Salesforce in London. The role is designed for someone who can help senior leaders operate effectively at a global level while contributing to team coordination, customer engagement, and cross-functional work. The role sits within the Corporate Functions job family. Candidates are asked to avoid submitting more than three applications within any 12-month period so they do not duplicate efforts.
Key responsibilities
- Keep the daily calendars of three Vice Presidents organised so commitments are handled smoothly and efficiently.
- Prioritise scheduling around customer meetings, internal reviews, release timelines, fiscal calendars, and Dreamforce.
- Arrange internal and external meetings at VP level, including team sessions, all-hands meetings, off-sites, and customer-facing discussions.
- Develop and maintain effective working relationships with important stakeholders and senior leaders across the business.
- Plan domestic and international travel in line with company travel policy, including visas, expenses, and supporting documents.
- Coordinate business logistics such as QBRs, all-hands meetings, off-sites, catering, luncheon arrangements, and similar event support.
- Handle additional administrative and project tasks as assigned.
Required qualifications
- Background supporting senior leaders at VP level or above in a global software or technology environment.
- Strong precision, organisation, and process management skills, along with clear verbal and written communication and the confidence to work with executives and outside partners.
- Comfort using virtual meeting tools such as Zoom, Webex, and Google Meet, as well as Google Workspace tools including Gmail, Docs, and Drive.
- Proven ability to juggle competing priorities, protect confidential information, and collaborate well within large administrative teams.
- Experience coordinating complex calendars and travel arrangements for C-suite leaders in a fast-moving, matrixed workplace.
Preferred qualifications
- Exposure to Slack, Salesforce, Google Workspace, and Tableau would be beneficial.
- Solid project coordination ability for moderately complex work, with a track record of meeting deadlines under pressure.
- A customer-focused mindset with flexibility and adaptability when priorities change.
- Curiosity and a willingness to keep learning, plus the ability to understand Salesforce’s global organisation and culture.
