Role Overview
AEA Designs is seeking a full-time Document Controller & Project Administrator in Doha, Qatar, to support interior fit-out and design projects across residential, commercial, retail, and hospitality sectors. The environment is fast-moving, highly detailed, and centered on deadlines and delivery standards.
This position is intended for a disciplined, accountable professional who can contribute immediately to active projects. It is not a general administration role; only applicants with practical document control experience in construction or fit-out projects will be considered.
Document Control
- Oversee the complete document lifecycle, including drawings, RFIs, submittals, method statements, material approvals, BOQs, contracts, and related correspondence.
- Keep registers, logs, and trackers up to date across several ongoing projects.
- Manage document exchange among consultants, contractors, subcontractors, and suppliers.
- Ensure strict version control, approval monitoring, and compliance with project requirements.
- Use and maintain document control systems such as Aconex or a comparable platform.
- Organize both digital and hard-copy filing systems in a structured manner.
- Prepare status updates for project managers and senior leadership.
- Compile as-built records and final close-out documentation.
Project Administration
- Provide direct administrative support to project managers and site teams.
- Arrange meetings with consultants and contractors and prepare minutes.
- Follow up on approvals, pending action items, and outstanding submissions.
- Draft weekly and monthly project progress reports.
Office and Team Support
- Handle project records, contract files, and supplier documents.
- Organize and facilitate the weekly internal meeting.
- Assist with HR administration such as personnel files, onboarding, and attendance tracking.
- Prepare professional correspondence and format documents to a high standard.
