Role Overview
ATCO Frontec is hiring an Administrative Supervisor for its ATCO Fire Prevention Services office in Calgary, Alberta. This position is responsible for guiding the day-to-day administrative function, keeping financial and timekeeping records accurate, and leading the administrative team. The role supports smoother processes, consistent service delivery, and overall operational performance.
The anticipated salary for this position is between 72,000 and 82,000 annually, based on experience and qualifications. This is an on-site role located in Calgary, AB.
Key Responsibilities
- Lead, coach, and support the administrative team in daily work activities.
- Organize and assign tasks so work is completed efficiently and service levels are maintained.
- Train team members, offer guidance, and provide constructive performance feedback.
- Create a team culture that values accountability and collaboration.
- Manage front desk activities such as telephone coverage, customer interactions, and office supplies.
- Check, code, and approve invoices for processing with accuracy.
- Track purchase orders and handle receipt issuance.
- Review and authorize client quotes and invoices prepared by the team.
- Arrange travel logistics, including accommodations, flights, and rental vehicles.
- Support readiness for internal and external audits.
- Oversee timesheet collection, validation, and submission.
- Ensure employee hours and leave are tracked correctly in time management systems.
- Monitor accounts payable and receivable activities to help maintain financial accuracy.
- Review administrative processes and look for ways to improve efficiency.
- Keep both paper and electronic filing systems accurate and organized.
- Coordinate meetings, including minutes and action item tracking.
- Prepare reports and provide administrative support to management.
- Serve as a key liaison between operations and administration.
- Provide additional support to office and operations staff as needed.
Qualifications
- At least 4 years of experience in office administration, including scheduling, customer service, and general office work.
- At least 1 to 2 years of experience supervising a team.
- High school diploma or equivalent is required; post-secondary training in a related area is considered an advantage.
- Strong working knowledge of Microsoft Office tools, including Excel, Word, Outlook, and Teams.
- Background in timecard entry, accounts payable/receivable, and ordering parts.
- Excellent written and verbal communication skills, with confidence speaking to a group.
- Ability to juggle multiple priorities, stay organized, and meet deadlines.
- Self-driven, adaptable, team-oriented, and eager to learn.
- Must be able to work from the designated office location.
- Familiarity with business operating systems and common office technology.
